SUBJECT: A Resolution in Support of Amending Legislation to Accept Optical Disk Storage
and Microfilm as Permanent Document Retention
The State of Illinois,Local Records Commission, only allows microfilm documents to be
accepted by their State Archives as a permanent form of document retention. Municipal Clerks
of DuPage County, in a concerted effort, are asking each municipality to support a Resolution for
acceptance of optical disk storage in our Illinois State Archives. The Local Records Commission
is in favor of this request, but it requires the introduction of new legislation. When I attend our
Municipal Clerks of Illinois Academy, next week,I would hope to include our resolution.
Legislation will be introduced early next year. I have spoken with Senator Walsh and
Representative Durkin about this legislation, and ;iey are in full support of a needed change for
improved record storage procedures for the State.
The Trustees requested the formulation of an Ad Hoc Committee for
one year, designating its purpose and membership.
Motion by Trustee McInerney, seconded by Trustee Kenny,to pass
Resolution 95-BD-EFC-R-656,"A Resolution Establishing an Ad
Hoc Committee for the Purpose of PIanning and Coordinating the

the full reading thereof. ROLL CALL VOTE:
