RECOMMENDED MOTION: I move to approve the budget for the 2008 Autumn Festival
as recommended by the Autumn Festival Committee pursuant to Village Board Resolution
R -1000.
Background/History:
On behalf of the Autumn Festival Committee and staff, I hereby submit the recommended
budget for the 2008 Autumn Festival for Board approval as required by Resolution R -1000. The
budget reflects the Committee's plans to offer a family event with entertainment, food, numerous
games and activities for children
Recommendation:
To approve the budget for the 2008 Autumn Festival as recommended by the Autumn Festival
Committee pursuant to Village Board Resolution R -1000.

RECOMMENDED MOTION: I move to approve Resolution R -1000 "A Resolution
Establishing an Ad Hoc Committee for the Purpose of Planning and Coordinating the 2008 Oak
Brook Autumn Festival'.
Background/History:
The attached Resolution establishes an ad hoc committee for the purpose of planning and
coordinating the 2008 Oak Brook Autumn Festival. You will note that the number of members
is being restored to seven (7) as there are seven residents who wish to serve on the Committee.
Recommendation:
I recommend that this Resolution be passed.

RESOLUTION 2007 -BD- AFC -R -1000
A RESOLUTION ESTABLISHING AN AD HOC COMMITTEE
FOR THE PURPOSE OF PLANNING AND COORDINATING
THE 2008 OAK BROOK AUTUMN FESTIVAL
WHEREAS, each year since 1996, the Village Board has established an ad hoc committee of Oak
Brook residents and corporate residents ( "Committee ") for the purpose of planning and coordinating the
Oak Brook Autumn Festival, and
WHEREAS, the most recently formed Committee has recommended that an autumn festival be
held in 2008, provided the event is fully funded through sponsorship donations, and
WHEREAS, the Village Board has concurred with the Committee's recommendation and has set
September 21, 2008 as the target date for the 2008 Oak Brook Autumn Festival, provided the event is fully
funded through sponsorship donations, and
WHEREAS, the Committee shall submit a comprehensive budget, which shall include information
on adequate funding for the event through sponsorship donations, and
WHEREAS, the Committee shall submit a program schedule to the Village Board by July 1, 2008,
for the Board's approval
NOW, THEREFORE, BE IT RESOLVED BY THE PRESIDENT AND BOARD OF
TRUSTEES OF THE VILLAGE OF OAK BROOK, DU PAGE AND COOK COUNTIES, ILLINOIS,
as follows
Section 1 That there is hereby created an Ad Hoc Committee for the purpose of planning and
coordinating the 2008 Oak Brook Autumn Festival Said Committee shall be known as the "2008 Autumn
Festival Committee" and shall consist of seven (7) Oak Brook residents The seven (7) members shall
elect two (2) members to serve as Co- Chairmen
Section 2 That the Committee shall have and exercise the following powers and duties
(a) To solicit sponsorship donations to fully fund said event,
(b) To report regularly to the Village Board on its progress and the status of its fundraising
efforts and program schedule of events,
(c) To submit a program schedule of events and comprehensive budget for the Autumn
Festival to the Village Board prior to July 1, 2008 for the Board's approval, which budget
shall be fully comprised of donations provided through sponsorship,
(d) To plan, coordinate, publicize, and execute the 2008 Oak Brook Autumn Festival,
(e) To encourage the widest possible participation in the Autumn Festival by residents, clubs,
organizations, institutions and businesses within the Village,
(f) To evaluate the success of the Autumn Festival and to make recommendations
concerning future events, and
(g) To form such subcommittees of its members as the Committee deems necessary and

desirable for the efficient and timely conduct of its business, and to assign to such
subcommittees any function or power provided herein

to the policies and procedures of the Village, in accordance with applicable law

SUBJECT: Financial Report of the 2007 Oak Brook Autumn Festival

RECOMMENDED MOTION: To direct the Village Attorney to draft the necessary
resolution establishing an Ad Hoc Committee for the purpose of planning and coordinating
the 2008 Oak Brook Autumn Festival
Background /History:
Resolution 2006 -BD- AFC -R -958 established the Ad Hoc Committee for the 2007 Autumn
Festival. The resolution requires that the Committee evaluate the 2007 Autumn Festival and to
make recommendations concerning future events. Attached is the financial report of the 2007
event in which the Committee met and recommended that the Village Board of Trustees consider
approval of a 2008 Oak Brook Autumn Festival Event. The Committee requests that funds
remaining in the amount of $1,449.06 from the successful 2007 Autumn Festival event be
designated for the 2008 Autumn Festival event.
Recommendation:
To direct the Village Attorney to draft the necessary resolution establishing an Ad Hoc
Committee for the purpose of planning and coordinating the 2008 Oak Brook Autumn Festival.

"The community of Oak Brook is a microcosm of the World. Community spirit is reflected
in the business, educational, recreational, social and spiritual endeavors of its residents
The Oak Brook Autumn Festival will promote the best of our roots, customs and traditions
in a day of celebration of unity, respect and friendship."
