BROOK HOTEL, CONVENTION AND VISITORS COMMITTEE OF THE
VILLAGE OF OAK BROOK APPROVED AS WRITTEN ON FEBRUARY
11, 2016.
CALL TO ORDER:
The Meeting of the Oak Brook Hotel, Convention & Visitors Committee of the Village of Oak
Brook was held at the Hyatt Lodge and called to order by Chairman Norm Canfield at 8:18 a.m.
Chairman Norm Canfield welcomed everyone.
PRESENT: Norm Canfield and Simon Fricker — NO QUORUM
ABSENT: Chris Johnson, Tony Marco, Martin Schooley, Iftild-tam Abbasy, Mort Kouklan and
Tracy Mulqueen.
IN ATTENDANCE: Riccardo Ginex, Village Manager, Donna Bettin, Executive Secretary,
Sharon Dangles, Village Finance Director, Trustee Don Adler, Trustee Mark Moy,
Craig Harvey, Hyatt Lodge, and Rob Grusin, Neil Flanders and Hamish McDonald
from Point B Communications.
2016 BUDGET DISCUSSION
A. Budget Projections & Discussion Items — Sharon Dangles explained the 1% fund is used
to promote tourism and overnight stays and the 2% fund is designated for streetscape,
median and pedestrian access projects.
She continued to explain the 1% fund in the 2015 budget was designated for Hotels of
Oak Brook advertising, polo sponsorship, website development /renewal, DCVB, and
administrative fees.
Manager Ginex talked about the 2% fund projects. He explained that the ITEP grant
project has been delayed by IDOT. The next letting for the project will be in January
2016.
The Village was hoping to work with Oakbrook Terrace to improve the medians on RT.
83. That project is still on hold. The Village is working with the mall to construct a small
bridge over the culvert by the parking deck theaters to create pedestrian access. He also
reported that the Pedestrian access projects are moving forward. Work has been
completed in some areas and additional work will be completed in 2016.
The signage project is moving forward. The Village is working with ComEd on obtaining
lighting to the signs. Planned signage for 2016 includes the west side of the Oak Brook
promenade & 31" street, Spring road, and possibly on a corner of mall area.
Manager Ginex talked about the Mall projects per his conversation with Chuck Fleming.
Everything seems to be on track. The theater project is coming along and the Santa house
with Shrek is already taking reservations. The Christkindlmarket is returning to the Mall
again this year. The Mall is also considering another office development as well.
The Hyatt Place did a presentation at a Village Board meeting. They are looking to put a
140 room hotel with 4500 square foot separate retail off of Windsor Dr. near the Drake
Hotel. Possibly 2017,

A development group on behalf of Rush Medical /Midwest Orthopedics gave a
presentation at a Village Board meeting. They are looking to build an 80,000 — 100,000
square foot building north of the Lions Club (York Rd /22nd St.). There is also a
possibility of 2 additional office complexes north of this location.
B. Marketing Budget Options — Chairman Canfield would like to see additional marketing
efforts in the I" and 01 quarters.
Rob Grusin explained that the marketing and website execution was as they had hoped.
The summer campaign was healthy and would like to see more opportunities for 2016.
Rob suggested that Point B meet with the Hotel Marketing representatives from each of
the properties to brain storm on ways that can help generate additional revenue and
marketing ideas for the slow periods.
Neil Flanders mentioned that the 2016 funds proposed for the website could be utilized to
update and add a booking engine.
Discussion ensued regarding the 2% fund. The Committee would like to see some funds
put aside to support the DCVB initiatives in bidding for large events to come to Oak
Brook.
C. 2015 Budget Recommendations — For 2016 the Committee would recommend the same
format: marketing /advertising, polo sponsorship, website renewal, DCVB, and
administrative fees.
OTHER BUSINESS
Next scheduled Hotel Convention and Visitors Committee meeting is set for Thursday, October
8, 2015 at Village Hall.
