CALL TO ORDER:
The Meeting of the Oak Brook Hotel, Convention & Visitors Committee of the Village of Oak
Brook was held in the Upper Level Conference Room of the Butler Government Center and
called to order by Chairman Dieter Heigl at 9:06 a.m.
ROLL CALL:
Chairman Dieter Heigl called the roll with the following persons:
PRESENT: Dieter Heigl, John Wagner, Rusty Middleton, Joanne Cascio, Ralph Maxson and
Tracy Mulqueen.
ABSENT: Kerry Mickelson, John Lampa, Chuck Fleming and Heather Wehling.
IN ATTENDANCE: Blaine Wing, Asst. Village Manager, David Niemeyer, Village Manager,
Donna Bettin, Village Executive Secretary, and Beth Marchetti, DuPage
Convention & Visitors Bureau.
APPROVAL OF MINUTES
Ralph Maxson motioned to approve the minutes from the November 13, 2008 meeting.
Seconded by John Wagner. Motion passed. Minutes approved.
UNFINISHED BUSINESS
A. 2009 Budget. The additional budget that the Hotel Committee is requesting has been
presented to the Village Manager. Per Manager Niemeyer, the overall Village budget was
approved in December; however, if the Committee wants to request additional funding, it
would need to be done at a Village Board meeting. Manager Niemeyer suggested to the
Committee that they show to the Village Board their room rates and decling numbers that will
reflect the need for additional funding and whether this requset will be funded 100% from the
Village and /or if the Hotels will be willing to cost share this funding request, and any other
specifics the Committee feels comfortable in sharing. Manager Niemeyer stressed the need to
show all the numbers including current hotel marketing expenses. The Committee will make a
formal presentation to the Village Board at the February 10, 2009 meeting.
B. 2009 Point b Marketing Campaign. Rusty Middleton requested an update for additional
details to the marketing campaign from Point b to accompany the presentation for the
additional funding request to the Village Board.
C. Finance and Marketing Subcommittee's Recommendation. The committee is finished.
There recommendations were presented to the Marketing subcommittee and to Point b.
NEW BUSINESS
A. 2009 Committee Chairman Selection. Chairman Heigl thanked everyone for their efforts
on the Committee and for allowing him the privilege of Chairing the Committee, but he is
ready to turn over the reins. Chairman Heigl motioned for John Wagner to be Chairman of
the Hotel Committee for this next year. Seconded by Rusty Middleton. John Wagner
accepted this motion. Motion approved.
B. 2009 Village Events. Assistant Manager Wing informed the Committee that the Village
Board has approved the Taste of Oak Brook event on July 3, 2009 and the V2 Marathon Run

event on September 7, 2009. Currently the Bike Race officials are re- evaluating their
proposal for 2009. The Highland Games group is considering their options of scaling back
their event or canceling it all together for 2009.
Village Manager Niemeyer explained that the Village is currently in the process of hiring
an event planner for the Taste of Oak Brook. This event is also contingent upon the
Village receiving enough sponsors to host the event.
The Winter Carnival event is hosted by the Oak Brook Civic Association, usually held in
January. For future reference, Blaine Wing will try to get this type of information out to
the Committee.
DUPAGE CONVENTION AND VISITORS BUREAU UPDATE
Beth Marchetti explained that the DCVB has a website calendar system that would be beneficial
for the Village to utilize for their events. The calendar is self maintained and very easy to use.
The DCVB is unveiling a new program; CVB Hot Rates. It is for meeting planners to use during
hard times. Please review the site and make sure all information is accurate.
They have not received any information from Point b for the Visitors Guide as yet. The
brochure will be online shortly.
DCVB is currently working on a special marketing project, shooting their own videos and placing
them on YouTube and has the hotels loaded on "Flicker ". If you have any new images, please
forward them on to Beth Marchetti. DCVB also markets on "Twitter" and can communicate
with its live counts with the "followers" which is beneficial for marketing purposes.
The Committee requested the DuPage Convention and Visitors Bureau do a presentation of all
the marketing services they have to offer the Committee and the Village of Oak Brook and a
comparison of their marketing costs /expenses versus Point b's, in a special meeting to be
scheduled in the near future.
OTHER BUSINESS
For future regular meetings the Chamber of Commerce will be added to the agenda for news and
updates.
Tracy Mulqueen mentioned that the Chamber's 2009 calendar of meetings and events are now
listed online. On Wednesday, January 14, 2009 they will be hosting their Corporate Community
Forum which has approximately 120 people in attendance.
The Hotel Committee thanked Dieter Heigl for service as Committee Chair.
ADJOURNMENT:
Motion by Ralph Maxson, seconded by John Wagner to adjourn the meeting of the Hotel
Committee at 9:55 a.m.
