Minutes - 05/17/2011 - Library CommissionMINUTES OF THE MAY 17, 2011 REGULAR MEETING OF THE LIBRARY COMMISSION OF THE VILLAGE OF OAK BROOK APPROVED AS WRITTEN ON JULY 19, 2011. CALL TO ORDER: The regular meeting of the Library Commission was called to order by Commission Chairperson Petz in the Library Meeting Room at 7:01 p.m. 2. ROLL CALL: Commission Chairperson Petz called the roll with the following persons PRESENT: Commissioners Herbert •Amquist, Susan Epstein, Roberta Petz, Hope Sabbagha and Veena Mendimtta ABSENT: Commissioner Sandra Wittrock IN ATTENDANCE: Susan Madorin, Library Director, Carol Maresh, Library Assistant APPROVAL OF MINUTES: CORRECTION TO PREVIOUS MARCH 15, 2011 MINUTES: Commissioner Mendiratta would like her statement to read "the purpose" rather than "objective ". Motion by Commissioner Amquist and seconded by Commissioner Sabbagha to approve the amended minutes of the regular Library Commission Meeting of March 15, 2011. 4. RESIDENT COMMENTS: None 5. UNFINISHED BUSINESS A. LIBRARY SURVEY QUESTIONS: The Village will have two questions regarding the Library on their Citizen Survey: "Have you visited the Library in the past 12 months ?" and "If so: rate your level of satisfaction with the professionalism of the service and the quality of the service." B. TEN YEAR CELEBRATION IN 2012: Discussion centered on musical offerings, budget requirements for the celebration and soliciting donations from area retailers. The anniversary date is March 9, but the Commissioners would like a date in early June on a Sunday which would require a special opening time since the Library is closed on Sundays after Memorial Day. 6. NEW BUSINESS A. REFERENCE POLICY: Change to the first paragraph: delete "regardless of age, gender, sexual orientation, race, or ethnicity of the questioner, or purpose of the question." VILLAGE OF OAK BROOK Minutes Page I of 2 May 17, 2011 CALL TO ORDER ROLL CALL MINUTES RESIDENT COMMENTS UNFINISHED BUSINESS LIBRARY SURVEY QUESTIONS 10 YEAR CELEBRATION NEW BUSINESS REFERENCE POLICY New wording: The Reference staff of the Oak Brook Public Library responds to the information needs of their users, providing clear and accurate answers to all patron inquiries. Reference Service is provided by professionally trained individuals. Additionally under "Services" add the following: Professional staff will instruct in the use of new technology, assist in electronic downloads and inform users of databases and other available reference tools. Commissioner Arnquist moved to recommend these changes to the Board of Trustees and Commissioner Epstein seconded the motion. None opposed. B. CHAIRPERSON'S REPORT: CHAIR REPORT Chairperson Petz reported the Friends of the Library Used Book Sale made $9500, less expenses. Commissioner Amquist stated that Mary Ann Nunez has continued to do an outstanding job in her volunteering for this sale. The Friends of the Library have approved the purchase of e- readers for the Library. The Friends will purchase one of each: Kobo, Nook, Kindle and possibly a new Sony reader C. DIRECTOR'S REPORT: DIRECTORREPORT Director Madorin reported that there will be a new Library Liaison who will be appointed by the new Village President. The coffee shop study is done and there will be no further action. Madorin has gotten approval to promote Jennifer Hatcher from shelver to YS assistant. Strategic planning for the Village is beginning in July. A ceremony to mark the 10 year anniversary of 9/11 is planned for September. The Library will be implementing E -pay for fines and fees by end of June. There are currently several art displays at the Library: A serigraph by Erte, CSA display in lobby, Lynn Tietz paintings in Reference area, and a bronze Lee and Grant statue commemorating the Civil War displayed on the new materials bookcase. Volunteers are needed for the Recycling Extravaganza in June. Commissioner Mendiratta requested Police assistance for traffic control that day. As of July 1, the Library's new library system will be Reaching Across Illinois Libraries System (RAILS). OTHER NEW F.
