Minutes - 01/11/2001 - Autumn Festival CommitteeAUTUMN FESTIVAL Committee Minutes of January 11, 2001 MEETING CALL: The meeting was called to order at 7:10 p.m. 2. ROLL CALL: PRESENT, Mariette Adrian, Adam Butler, Michelle Butler, Connie Craig, Nuha Dabbouseh, Ralph Maxson, Barbara Nasharr, Bonnie Sartore ABSENT: Joyce Antoniolli, Doreen Barrett, Jan Lundquist, Carolyn Link, Nelly Naguib, Joan Philip, Tom Truedson. ALSO PRESENT: Linda Lojewski, MINUTES of the October 19, 2000 meeting were approved as submitted. 4. MEETING DATES for the remainder of 2000 will continue to be on the 2 "d Thursday of each month. 5. FINANCIAL REPORTS from Autumn Fest 2000 were distributed by Bonnie. Results show that for the total event we finished $1,138.31 over budget. The Preview Party had a $920.25 deficit. However, if we allocated part of the sponsorship fee, particularly Private Bank, it would have broken even. As Adam indicated, we entertained the Bank at the dinner with a sponsor's table and the "bought into" both days of the event. 6. BONNIE explained the renovation project at the clubhouse and several options for this year's Autumn Fest. There is a possibility of holding the Preview Party in the Clubhouse; with after dinner dancing in the tent. Several members like this idea because it gives those people who want to converse an opportunity to do so without having to shout over the band. Other possibilities were discussed, with plans to be finalized at a later date. One of the benefits of having the dinner in the Clubhouse would be not having to rent the huge tent or having to bring power and equipment out to it. This would bring more profit to the preview party. There is also the possibility the large stage could be replaced by a smaller one, saving some money there as well. Bonnie will bring a set of construction plans to the next meeting to give committee members a better idea of the project's scope and possibilities. 7. COMMITTEE ASSIGNMENTS: As the event grows, bigger commitments are necessary from the committee members. Before the February meeting, members are to give some thought as to their responsibilities and preferences. Nuha will again solicit raffle prizes and donations. To help her promote the Autumn Fest, Bonnie will ask Karen Martino to put together some pictures from previous events. At the next meeting, copies of the solicitation letter will also be available so that the committee can begin soliciting gifts early. Adam will again solicit sponsors. The committee indicated a desire to obtain more sponsorships to help defray costs. In the past, some activities were from 1 -3, others from 3 -5, etc. It is the committee's goal to have everything available the entire time, from noon until 5:00. This will, however, increase costs and the necessity to have more workers to sell and take tickets, etc. so commitment is important! POSSIBLE NEW EVENT: Resident pet parade. Following the success of the 2000 Tribute to Marlo, the committee agreed that another animal activity would be welcome. It was suggested that there be a resident pet parade, perhaps led by Uri and some other canine units. Bonnie mentioned that Pets for Vets had a function at a Polo game and she will see if they will put on a demonstration as part of the Autumn Fest activities as well. It was agreed that there would have to be a definite animal area and that there would be a designated pet parade route. 9. BRASS QUINTET: Ralph agreed to contact the Brass Quintet and ask for a contract to be sent so they can be scheduled. 10. SCHOOL CHILDREN: Because the event falls early into the school year and groups have not had the opportunity to practice, there has been little interest in performing the last two years. A letter will be sent to the Park District and schools before summer vacation begins, asking for some participation. It was mentioned that the Kids Unlimited group does a performance in July; perhaps that same show could be done at the Autumn Fest, eliminating the need to learn new routines in a short time. 11.
