Minutes - 01/13/2005 - Autumn Festival CommitteeMINUTES OF THE JANUARY 13, 2005 MEETING OF THE AUTUMN FESTIVAL COMMITTEE OF THE VILLAGE OF OAK BROOK APPROVED AS AMENDED ON FEBRUARY 10, 2005. 1. CALL TO ORDER: The Regular Meeting of the Autumn Festival Committee was called to order at 7:15 p.m. in the Oak Brook Bath & Tennis Clubhouse, 800 Oak Brook Road, Oak Brook, IL 2. ROLL CALL: PRESENT: Joyce Antoniolli, Nuha Dabbouseh, Linda Gonnella, Nelson Patras, Interim Oak Brook Bath & Tennis Club Manager. ABSENT: Carolyn Link, Nelly Naguib and Barbara Nashaar. 3. APPROVAL OF MINUTES: Motion by Joyce Antoniolli, seconded by Nuha Dabbouseh, to approve the minutes of the November 11, 2004 Autumn Festival Committee meeting as presented. VOICE VOTE: Motion carried. 4. UNFINISHED BUSINESS: PREVIEW PARTY a. Discuss and Approve the 2005 Recommendations to the Village President and Board of Trustees Food Vendors The Committee members discussed having a one day Autumn Fest to be held on Sunday, September 25th from 12:00 p.m. to 5:00 p.m. The following restaurants will be contacted by Committee members to participate in this year's event: India House, Home Run Inn Pizza, York Tavern, Scoops, Toni & Marie's Bakery, Panda Express and Pita House. Committee member Antoniolli will contact the feasibility of a caterer for the event. She will also contact Fuller's in Hinsdale with their new store to see if they would consider a cooking demonstration that day Carolyn Link has previously offered to contact the Downbeats to perform again. Activity Vendors The Committee members discussed what vendors should be approached for this year's event. Committee member Dabbouseh will contact R. C. Racing Experience to participate again. She indicated that she had a contact whereby the woman has animals Autumn Festival Committee Minutes Page 1 of 3 January 13, 2005 4. a that performed tricks at a cost of $300. She will provide more information on this vendor. She will also contact Hinsdale Central's High School Band to see if they would perform that day. The Committee discussed that Carolyn Link had previously stated she would contact Highland Dancers and requested that a larger stage be made available for them. Committee member Gonnella stated she has a verbal commitment from Mr. Di Carlo of Armanettis' Liquor to provide the wine tasting segment for the Fest. Rudi Kazoodi will be contacted to participate again with the Committee recommending that a clown and a balloonist be provided. Member Dabbouseh will contact Magician Tim Adams to provide a magic show, request four ponies instead of two from the Prince & Princess Ponies vendor and contact Jelly Bean Productions for the Moonwalk. Member Antoniolli will contact a face painter to provide two painters for the day. Tom Suhs will be contacted or Harry Peters to again request the Oak Brook Park District's popcorn machine and massage chair and a staff person. The Long Earred Livery Service will be contacted for the hayride activity and to follow the same path as designated this past year. The Oak Brook Police Department will be contacted for the DARE and K -9 Officers to participate as well as the Oak Brook Fire Department. Special signage is needed for the maze for the children. Signage Committee member Gonnella stated that the Village's administrative staff could assist with signage for the event. Members Antoniolli and Dabbouseh requested that signs of the event and its activities be printed for the area schools, Oak Brook Part District, Oak Brook Park District Fitness Center and the Oak Brook Bath & Tennis Club. Manager Patras indicated that maps will be printed that designate the areas for parking and where events will be held. The Committee requested that the maps be included in the mailings of the event. The Committee recommended the following for the 2005 Autumn Fest to be presented to the Village Board of Trustees for their consideration at their February meeting. 1. The structure of the Autumn Festival Committee is redefined in which seven residents serve on the Committee with one member being an elected official to serve as the Chairman. That the Committee appoints a Vice Chairman in the absence of its Chairman. 2. The Preview Party is discontinued due to the low attendance of the event. 3. The Village of Oak Brook hosts a one day Autumn Fest event on Sunday, September 25, 2005 from 12:00 p.m. to 5:00 p.m. 4. A brief ceremony is held during the Autumn Fest in which the Sponsors of the event receive a plaque recognizing their contribution to the event 5. The funds that remain from the successful 2004 Autumn Fest event be designated for the 2005 Autumn Fest event in which a small generator is purchased for Autumn Festival Committee Minutes Page 2 of 3 January 13, 2005 4. a. activities that may be used by the Sports Core and for expansion of activities for the event. These recommendations would require that the Resolution Establishing an Ad Hoc Committee for the 2005 Autumn Festival be revised. 5. NEW BUSINESS: - None presented. 6.
