Minutes of February 8, 2001
MEETING CALL: The meeting was called to order at 7:10 p.m.
ROLL CALL: PRESENT, Adam Butler, Connie Craig, Ralph Maxson, Joan Philip, Bonnie
Sartore
ABSENT: Mariette Adrian, Joyce Antoniolli, Doreen Barrett, Michelle Butler, Nuha Dabbouseh, Jan
Lundquist, Carolyn Link, Nelly Naguib, Barbara Nasharr, Tom Truedson.

3. MINUTES of the January 11, 2001 meeting were approved as submitted.
4. SPONSORSHIPS: As the festival grows, the committee would like to involve more sponsors to help
defray some of the expenses and involve more people. Much time was devoted to refining a letter of
solicitation, picking pictures of previous Autumn Fest activities to develop a "marketing' flyer, and
discussing ways to acknowledge sponsors. Sponsors will be acknowledged in both the Civic
Association and Village Newsletters following the event. Possible newspaper acknowledgements
were also discussed although this appears to be an expensive venture and some committee members
expressed a desire to put money into the event itself rather than a newspaper ad. A list of possible
events for sponsorship will be available to committee members at the next meeting. Joint sponsorships
will also be encouraged.
EVENT MAPS & PARKING: It was suggested that event maps be given to visitors when parking
fees are paid, as well as having them available in various locations the day of the fest. Event sponsors
will also be noted on the maps. Bonnie had met with Julianna Greer, from the Highland Games, and
Julianna mentioned that they hope to use Eagle Scouts with the DuPage County Sheriff's Dept. to help
them with parking and other tasks. Bonnie will investigate the possibility of using this group as well.
6. PET PARARE UPDATE: Bonnie spoke with Officer Ramirez about helping with the pet parade.
He indicated that he and other members of the canine units would be willing to participate possibly by
leading the parade and/or by putting on a demonstration. Bonnie will follow -up at a later date. Ruth
Martin, from the Library, has expressed a desire to tie into an activity as well. The library will be well
under construction at that point and the Autumn Fest would be a good opportunity for visitors to see
the project. It was suggested that possibly the pet parade participants could wind up at the library and
enjoy an animal story.
7. JOAN PHILIP volunteered to ask the Civic Association for permission to use their labels again for
various Autumn Fest mailings. This would be at no cost to the Autumn Fest committee.
8. COMMITTEE MEMBERS discussed the areas that the committee members will need to oversee
such as event solicitation/donations; raffle donations; vendors /crafters; activities, worker assignments;
raffle ticket sellers; volunteer coordinator; cake walk coordinator. Some of those present volunteered
for specific assignments — others will be made at the following meeting.
