MINUTES OF THE FEBRUARY 10, 2005 MEETING OF THE
AUTUMN FESTIVAL COMMITTEE OF THE VILLAGE OF OAK
BROOK. APPROVED AS WRITTEN ON MARCH 10, 2005.
CALL TO ORDER:
The Regular Meeting of the Autumn Festival Committee was called to order at 7:40 p.m.
in the Oak Brook Bath & Tennis Clubhouse, 800 Oak Brook Road, Oak Brook, IL
ROLL CALL-
PRESENT: Joyce Antoniolli, Connie Craig, Nuha Dabbouseh, Linda Gonnella, Barbara
Nashaar, Nelson Patras, Interim Oak Brook Bath & Tennis Club Manager and Mary
Meranda, Secretary.
ABSENT: Carolyn Link and Nelly Naguib.
Member Gonnella apologized for her tardiness as she thought the meeting began at 7:30
p.m.
APPROVAL OF MINUTES:
January 13, 2005
It was noted that Secretary Mary Meranda was not in attendance of the January 13, 2005
Committee meeting.
Motion by Member Antoniolli, seconded by Member Dabbouseh, to approve the minutes
as amended of the January 13, 2005 Autumn Festival Committee meeting as amended.
VOICE VOTE: Motion carried
UNFINISHED BUSINESS:
a Discuss Village Board of Trustees Recommendation to the Committee
Member Gonnella distributed the recommendations that were presented to the Village
Board of Trustees meeting of February 8, 2005. The Board approved the Committee's
recommendations and a Resolution indicating the five recommendations will be presented
to the Board at their February 22, 2005 meeting. The 2005 Committee will be as follows:
1. The structure of the Autumn Festival Committee is redefined in which seven
residents serve on the Committee with one member being an elected official to serve
as the Chairman. That the Committee appoints a Vice Chairman in the absence of its
Chairman.

a.
2. The Preview Party is discontinued due to the low attendance of the event.
3. The Village of Oak Brook hosts a one day Autumn Fest event on Sunday, September
25t113 2005 from 12:00 p.m. to 5:00 p.m.
4. A brief ceremony is held during the Autumn Fest in which the Sponsors of the event
receive a plaque recognizing their contribution to the event.
5. The funds that remain from the successful 2004 Autumn Fest event be designated for
the 2005 Autumn Fest event in which a small generator is purchased for
As the elected official, Village Clerk Linda Gonnella will be the Chairman for the 2005
Autumn Festival Committee The Committee concurred with the recommendation and
appointed Nuha Dabbouseh as the Vice - Chairman in the absence of the Chairman.
b. Update of the Activities Planned for the 2005 Autumn Fest
Food Vendors
Mary Meranda suggested that Assistant Village Manager Jeffrey Moline attend the next
meeting to explain the procedures to the Committee of contracting with vendors for the
event.
Member Antoniolli offered that she has contacted a caterer, Mike Baines, who would like
to participate Vice Chairman Dabbouseh contacted R. C. Racing Experience and they
wish to participate again this year. The Committee concurred that a better map is
necessary to show where all the activities will be located.
Bath & Tennis Club Manager Patras noted that he has spoken with Grounds
Superintendent Sean Creed to remove the remaining portion of a tennis court and have it
seeded so that it could be used for activities also. He further suggested that a two -tent area
would be designated for all of the activities that day.
The Committee discussed new vendors that are interested such as Toni & Marie's in
Hinsdale. Weber Bakery will be contacted to provide donuts, brownies and cookie.
Member Craig will follow up on this Small cakes will need to be purchased for the
cakewalk Further research needs to be done to determine where to purchase.
Mary Meranda will draft letters for the food vendor regarding the contracts that will need
to be completed by them. The following vendors have agreed to return this year: Panda
Express, Pita house, York Tavern (Chairman Gonnella will contact the owner to
determine if their menu could be expanded) and Mr. Bill's funnel cakes. Chairman
Gonnella will also contact India House to determine if they wish to participate as well as
Mr. DiCarlo, Armanetti's Liquor, for tfie wine tasting.

Vice Chairman Dabbouseh stated she has contacted the Hinsdale High School Band and is
awaiting word if they wish to perform that day. Member Antoniolli has contacted Sassy
the Clown who would work at $125 the first hour and $85 per hour thereafter. The
Committee discussed this and asked if she would follow -up with the vendor to determine
if she would reduce her rate for four hours of work. The Committee concurred that a
second face painter is needed for the event. Vice Chairman Dabbouseh stated that
Magician Tian Adams would perform a magic show for $195 per show. Member Nashaar
will also contact the Oak Brook Civic Association member George Mueller as they
contracted for a face painter for their Winter Carnival.
Mary Meranda will contact Mr. Mueller regarding the hay ride activity as he was the
contact person last year for this event. Vice Chairman Dabbouseh stated that the
moonwalk vendor has agreed to come this year. She spoke of a new activity, Samantha
and the Amazing Animals. Her fee is $275 for one hour. She will follow -up to see if they
would reduce the cost for two hours.
Chairman Gonnella indicated she would contact Executive Director Tom Suhs, Oak
Brook Park District, for the use of their popcorn machine, massage chair and staff person.
Manager Patras indicated that the popcorn machine would be moved to a better location
this year.
Member Antoniolli explained that she was given names of eight school parents from
Brook Forest and Butler Junior High who would be willing to assist with the activities
that day. She will ask follow -up on this and ask if they would come to a couple of our
meetings so they would know what is occurring for the Autumn Festival. The Committee
also recommended that the Butler Junior High Spirit Squad be contacted to see if they
wish to perform that day.
Manager Patras will contact the Hinsdale Hurricanes soccer league and request that they
not practice that Sunday so that the parking and expansion of activities will be better
handled.
It was a consensus of the Committee that the amounts requested for sponsorship remain
the same as last year. Chairman Gonnella will work Administrative Aid Denise
Williamsen regarding signage and flyers for the event. These will be brought to the
Committee for their review and approval.
Member Naguib will be contacted to see if she wishes to continue with the pumpkin
painting activities this year. The Committee concurred that the sponsor VIP pins will
again be offered this year with free admission.
Members Antoniolli and Nashaar agreed to coordinate the cakewalk.

The Committee discussed their next Committee meeting will be held March 10, 2005 at
7:00 p.m.
5. NEW BUSINESS - None presented.
6. ADJOURNMENT.
Motion by Member Craig seconded by Vice Chairman Dabbouseh, to adjourn the meeting
at 8:53 p.m.
