Minutes - 03/14/1996 - Autumn Festival Committeet t r ^ 7 Minutes from the meeting of March 14, 1996 Ethnic Fest Committee Oak Brook Bath & Tennis Club House Meeting was called to order at 7:45 p.m. Present at the meeting: Ruth Martin Gerald O. Gonnella Gale Christopher Joan Philip John Lindquist Roy Cripe Bonnie Sartore Karen Martino Minutes of the 2/8/96 meeting were approved with the following correction: Kathy Sievertsen and Nuha Dabouseh will work with restaurants, and Shere Mazda, Nuha and Adam Butler will work with merchants. The first item for discussion was the recipe box to be sold at Ethnic Fest. Joe O'Connell of GO Promotions sent a sample of a wooden box, an acrylic box and a mug. The cost of his items, based on 2;000, are: $16.75 for the wooden box with laser engraved top; $7.59 for the acn,lic box with one -color screened imprint; and $3.59 for the Flags of the World coffee mug with one -color imprint. Joan Philip said the box should be oak (because it signifies Oak Brook) and have 4" x 6" recipe cards, perhaps with recipes from each country a different color. She has a source for an oak box that is available @ $14.63 in bulk or @ $15.50 boxed, with 250 minimum order. The cost of the boxes was discussed and it was decided that $25 may be too much to charge. Joan and Al Savino will bring boxes from additional sources to the next meeting. Nuha said they sold 400 cookbooks at Butler School (out of 700 ordered). John Lindquist said aprons should be made up so the Pioneers who serve as hosts 4" / ,C„J and hostesses that day could wear them; and they also could be sold. Joan is going to the Women's Club meeting to push them to get recipes from the Gourmet groups. Estimated start -up costs for promotional items: 60 aprons @ $6, and $5,000 for the recipe boxes. Next year a mug will be added to items available. A logo designed by Jesse Philip was chosen as the official logo. Ralph Maxson was absent, so Bonnie Sartore gave the Entertainment report. He has asked for $5,000 in a contingency fund, and he will work with Sue Santefort to arrange the entertainment schedule. The Ethnic Fest program will include entertainment, restaurants, map of booths, ads, etc. Tom Mazukelli suggested we contact Benny the Bull who is a great storyteller. Joan Philip said Graue Mill also has weekly storytellers, and Ruth Martin has on -staff storytellers at the Library. Bonnie Sartore gave the Operations Committee report. She has worked with Park USA in the past. When they set up the field for parking - with security, light towers, etc., the cost of $7,000 is based on 2,000 to 10,000 people: Cost for 20' x • 20' tent would be $225; a 10' x 10' tent would be $125 (including dropsides) from Jim Caracciolo at The Rental Place; generators are available starting at $10. We can also offer linen rentals. It was determined that we would charge $300 for a 20' x 20' tent and $200 for a 10' x 10' tent, and those prices would be included in a letter to be sent to prospective sponsors, merchants and food vendors. Bonnie suggested providing space for residents who want to put on a cultural display to share their customs but not sell anything. John Lindquist said it should be set up inside the club house. Joan Philip suggested charging a small fee for a table, as well as screening the items to make sure they are authentic. Marge Tresley was opposed to screening, saying it is hard enough to get people who want to display items. Jerry McInerney said it is necessary to have a cultural display, since we are not doing this as a money - making endeavor. Instead of charging, we could ask for a deposit and then refund it. Costs will be $15 for a small table and $25 for a large table. County ordinance prohibits home prepared food. Nuha inquired as to how many spaces are availabletr restaurants and vendors, and Bonnie said it is pretty much unlimited. They will be set up in the paved parking lot and can spill onto the tennis courts. Joan Philip suggested setting up picnic tables • and chairs so people can sit down to eat. Bonnie reported that the Highland Games are coming June 15 & we should look at their booths to get ideas. Karen Bushy is sending a letter to all consulates in Chicago asking for a list of restaurants and vendors and flags. Marge Tresley said the Publicity Committee talked to Jane Zentmyer of The Doings and Chris Santilli at the Oak Brook Gazette and they are very receptive to doing articles. The theme winner was chosen from seven entries, with the winner being "A World Within a Village, Oak Brook, " submitted by John Baar, 3 Brighton Lane, Oak Brook (phone: 571- 2056). Bonnie said we will have signs with the theme and logo made to hang at the park district, village offices, library, schools, etc. John Lindquist suggested meetings begin at 7 p.m., followed by subcommittee meetings at 8:30 p.m. The meeting adjourned at 9:30 p.m. The next meeting will be at 7 p.m. Thursday, April 11 at the Bath & Tennis Club House. 0 's �J
