Minutes - 03/30/2006 - Autumn Festival CommitteeMINUTES OF THE MARCH 30, 2006 MEETING OF THE AUTUMN FESTIVAL COMMITTEE OF THE VILLAGE OF OAK BROOK APPROVED AS WRITTEN ON MAY 4, 2006 1. CALL TO ORDER The Regular Meeting of the Autumn Festival Committee was called to order by Chairman Linda Gonnella at 7:04 p.m. 2. ROLL CALL PRESENT: Chairman Linda Gonnella, Vice Chairman Nuha Dabbouseh and Committee Members Joyce Antoniolli, Connie Craig and Nelly Naguib. ABSENT: None. 3. APPROVAL OF MINUTES Meeting Minutes of February 23, 2006 Vice Chairman Dabbouseh requested that the minutes be amended under Agenda Item 4. c. Discuss Sponsorship of Autumn Festival, page 2 to read: "Vice Chairman Dabbouseh recommended that L R Group has offered to be a sponsor for Autumn Festival and to contact them." Motion by Vice Chairman Dabbouseh, seconded by Member Antoniolli, to approve the Autumn Festival Meeting Minutes of February 23, 2006 as amended. VOICE VOTE: Motion carried. 4. UNFINISHED BUSINESS a. Discuss Sponsorships The Committee discussed a change in the venue of the Autumn Festival to be more food oriented. A draft flyer of the event was distributed to all of the members showing advertising more of the food vendors. The Autumn Festival could be held even if not enough funding was received for some of the activities as the food vendors and activities hosted by our Fire and Police Departments, pumpkin painting, the Oak Brook Park District and a few sponsored activities could suffice for having the event. b. Discuss Food Vendors Chairman Gonnella contacted Uncle Bub's of Westmont and Mark Link offered to give a portion of his food sale proceeds to help with the cost of the Autumn Festival. Scoop's has expanded their menu so that there will be plenty of different ethnic foods including Uncle Bub's, Panda Express, Mr. Bill's Funnel Cakes, Caribou Coffee, Park District VILLAGE OF OAK BROOK Minutes Page 1 of 3 March 30, 2006 4. b. popcorn and Sal's Beverages. The Committee recommended that all of the food vendors may sell refreshments if they wish. This may be discussed further with the food vendors to determine what they recommend. c. Discuss Activities and Entertainment The Committee discussed the problems with animals that have been publicized lately. The Committee recommended that the Autumn Festival not include any activities with animals and to rather find new activities for children. Member Craig contacted the DuPage Children's Museum which offers many types of interesting and inexpensive programs. Mary Meranda will contact them directly for further information regarding these types of activities. The Committee then discussed the expenses of the event and noted the decrease in costs when adjusting certain activities. It was agreed that only one tent be used for set -up of the food vendors around the perimeter of the tent and tables in the center. Extra chairs will be needed for Mr. Di's Magic Show. Manager Patras will review the layout further as to where Mr. Di's Magic Show will set up and the Bus -O -Fun activity. The wine tasting will be inside the Clubhouse and possibly activities from the DuPage Children's Museum if necessary. Manager Patras also commented of his concern that the food vendors appear for the event. Chairman Gonnella recommended that his staff follow -up closely with each food vendor nearer the day of the event to make sure that they would participate. Member Naguib informed the Committee that the Oak Brook Civic Association has graciously agreed to place our Autumn Festival flyer in their Civic Association newsletter at no charge. 3,000 flyers will be printed and given to them to disperse in their newsletter. Chairman Gonnella will contact the OBCA President Gerry McInerney and thank him for this. Carolyn Link has also agreed to have a small area in their newsletter highlighting our Autumn Festival during the next few months. Chairman Gonnella asked if Member Naguib would speak with OBCA President McInerney to ask if he would attend the Autumn Festival or OBCA members to display information of their activities for our Oak Brook residents. It was further discussed to contact the Oak Brook Historical Society to see if they wish to participate and have a table to display their association's efforts. The Committee recommended that more barricades are necessary to block cars from parking in areas that are needed for the large activities of Bus -O -Fun and Mr. D's Magic Show. It was requested that Mary Meranda contact the vendors to request that they be set up earlier in the morning before the public arrives at noon. The Committee also determined that three car parkers may be necessary rather than two for the event. 5. NEW BUSINESS VILLAGE OF OAK BROOK Minutes Page 2 of 3 March 30, 2006 5. The Committee discussed the next Committee meeting date of April 27, 2006 at 7:00 p.m. at the Sports Core Administration building. 6. ADJOURNMENT Motion by Member Naguib, seconded by Vice Chairman Dabbouseh, to adjourn the Autumn Festival Committee meeting at 8:40 p.m. VOICE VOTE: Motion carried. ATTEST: s /Linda K.
