Minutes - 05/12/2005 - Autumn Festival Committee1. 2. 3. 0 MINUTES OF THE APRIL 14, 2005 MEETING OF THE AUTUMN FESTIVAL COMMITTEE OF THE VILLAGE OF OAK BROOK APPROVED AS AMENDED ON MAY 12, 2005. CALL TO ORDER: The Regular Meeting of the Autumn Festival Committee was called to order by Vice Chairman Nuha Dabbouseh at 7:15 p.m. in the Oak Brook Bath & Tennis Clubhouse, 800 Oak Brook Road, Oak Brook, IL. ROLL CALL: PRESENT: Vice Chairman Nuha Dabbouseh, Committee Members Joyce Antoniolli, Nelly Naguib and Connie Craig ABSENT Chairman Linda Gonnella, Carolyn Link and Barbara Nashaar. IN ATTENDANCE: Nelson Patras, Interim Oak Brook Bath & Tennis Club Manager and Mary Meranda, Sports Core Secretary. APPROVAL OF MINUTES: March 10, 2005 Vice Chairman Dabbouseh, Member Craig and Antoniolli noted there were corrections to be made to the minutes as follows Agenda Item #4, Section b, Discuss Vendor Contracts: First line of the first paragraph the word "this" should be inserted instead of the word "his ". Fourth paragraph, second sentence should read: "Interim Oak Brook Bath & Tennis Club Manager Nelson Patras stated that he is working with Heavenly Ice from De Kalb." Fifth paragraph, second sentence should read: " "it would require the vendor to agree and consider a retainer fee or he would receive $.50 cents from each child." Paragraph 12 would read: Member Craig reported that she had spoken to Mike Weber. He would donate some small cakes and /or brownies for the cake walk." Paragraph 13: remove the word "is" from the sentence. Paragraph 14 • insert the name "Lemur" and remove the word Lamb Paragraph 17 should read- "Magic markers will be provided with ponchos cut from a roll of plastic tablecloth." Motion by Member Antoniolli, seconded by Member Naguib, to approve the minutes of the March 10, 2005 Autumn Festival Committee meeting as amended. VOICE VOTE: Motion carried. UNFINISHED BUSINESS: a. Discuss Vendor Contracts Autumn Festival Committee Minutes Page 1 of 3 April 14, 2005 4. a. Mary Meranda stated she already had contact addresses for Panda Express and Pita House. For any other potential food vendors, she would require contact information. Vice Chairman Dabbouseh notified the Committee that Pita House has informed her that they no longer wish to participate She had contacted the Corner Bakery at the Oakbrook Shopping Center and she is to call General Manger Kim to discuss their participation. She also mentioned that Yorktown Mall Caribou Coffee Manager, Jeff Corey, asked to receive a letter about the event, approximate number of guests and a contract in order to discuss participation with their corporate office. Mary Meranda took the name and address to send a food vendor application and contract. Member Antoniolli informed the Committee that food caterer Mike Baines from Schaumburg is very interested in being a food vendor for the Fest. Mary will also send an application and contract to Mr. Baines. Scoops will serve frozen ice for the Fest. Member Naguib inquired about the earlier suggestion to have Oak Brook restaurants participate in a Taste of Oak Brook style. Mary Meranda mentioned that no one was directed to do anything in this regard. Member Craig restated her comment from last month that Weber Bakery has committed to donating small cakes /brownies for the cake walk activity. Vice Chairman Dabbouseh told the Committee that Chairman Gonnella will give an update on the vendors she has contacted at next month's meeting. b. Update the Activities Planned for the 2005 Autumn Fest Vice Chairman Dabouseh gave her report of the activities she is handling for the event. Magician Tim Adams will charge $195 for each of the two performances as he normally charges up to $350 for big events. Amazing Animals will do two shows for $500. She recommended postponing the decision on both activities until the next meeting. Prince & Princess will charge $900 for four ponies for four hours. She referred to her letter sent to all members of the health risks posed by animals and what safeguards could be implemented Manager Patras said that some measure such as sanitary wipes placed close to activities involving animals could be helpful. Member Naguib asked for an explanation on the fact painting liability. Manager Patras explained that the Village could be held liable in case of any allergic reaction to the face painting ingredients. Sports Core Secretary Meranda gave the Committee members a brochure given by Chairman Gonnella of a Raptor program through the Itasca Nature Center. Vice Chairman Dabbouseh reported that Mr. Lemm, Butler Junior High Band Director, declined participation since the band begins practicing the same week as the Fest. Two detailed messages were left with Butler Junior High's music teacher, Mr Richard Sobak. Autumn Festival Committee Minutes Page 2 of 3 April 14, 2005 4 b. To date no reply has been given. The school's secretary said Mr. Sobak will call once he checks his messages. Brook Forest music teacher, Mrs. Maimonis, is retiring this summer and the new teacher will not have know the children long enough to plan for them to participate in the event. A detailed message was recorded on the answering machine of Mr. Wilhelm, the Hinsdale Central Choir Director. Member Naguib mentioned the pumpkins decoration activity and suggested that she will locate some designs like stencil paper which could help the children to be more creative in decorating their pumpkins. c Discuss Sponsorships Manager Patras reported that the proposed generator the Committee agreed to purchase from the 2004 Autumn Festival revenue has not been purchased at this time due to concerns for sponsorships for the 2005 Autumn Festival. Secretary Meranda reported that sponsorship letters were mailed to Oak Brook businesses. 5. NEW BUSINESS a. Discuss & approve 2005 Expenditures to Date Motion by Member Craig, seconded by Member Antoniolli, to approve $42 for envelopes and postage stamps for the sponsorship letters.
