Minutes - 06/09/2005 - Autumn Festival CommitteeMINUTES OF THE JUNE 9, 2005 MEETING OF THE AUTUMN FESTIVAL COMMITTEE OF THE VILLAGE OF OAK BROOK APPROVED AS AMENDED ON JULY 7, 2005. 1. CALL TO ORDER: The Regular Meeting of the Autumn Festival Committee was called to order by Chairman Gonnella at 7:13 p.m. in the Oak Brook Bath & Tennis Clubhouse, 800 Oak Brook Road, Oak Brook, IL. 2. ROLL CALL: PRESENT: Chairman Linda Gonnella, Vice Chairman Nuha Dabbouseh, Committee Members Joyce Antoniolli, Carolyn Link and Nelly Naguib. ABSENT: Connie Craig and Barbara Nasharr. IN ATTENDANCE: Mary Meranda, Sports Core Secretary. 3. APPROVAL OF MINUTES: May 12, 2005 Motion by Member Link, seconded by Member Naguib, to approve the minutes of the May 12, 2005 Autumn Festival Committee meeting as presented. VOICE VOTE: Motion carried. 4. UNFINISHED BUSINESS: a. Discuss and Approve Purchase of Generator The Committee discussed the cost of purchasing a generator for the Bath & Tennis Club usage for the Autumn Festival and other events. Motion by Vice Chairman Dabbouseh, seconded by Member Naguib, to approve the purchase of a generator in a not -to- exceed amount of $400.00 ROLL CALL VOTE: Ayes: 5 — Chairman Gonnella, Vice Chairman Dabbouseh, Members Antoniolli, Link and Naguib. Nays: 0 — None. Absent: 2 — Members Connie Craig and Barbara Nashaar. b. Update and Approve Activities The Committee discussed the times of each activity and their costs as follows: Magician Tim Adamz will perform one show at 1:00 p.m. at a cost of $195.00; Amazing Animals Autumn Festival Committee Minutes Page 1 of 3 June 9, 2005 4. b. will perform a show at 12:30 p.m. and 2:00 p.m. at a cost of $500.00; Prince & Princess Ponies will have their activity from 12:00 p.m. to 4:00 p.m. at a cost of $900.00; Raptor Program will perform two shows during 1:00 p.m. to 4:00 p.m.; Jelly Bean Moon Walk will occur from 12:00 p.m. through 4:00 p.m. at a cost of $175.00; RC Racing Experience will have their activity from 12:00 p.m. to 5:00 p.m. at a cost of $1,100.00; Rudi Kazoodi face painting will occur from 1:00 p.m. to 4:00 p.m. at a cost of $300.00 plus stickers; Pockets the Clown will perform balloon animals from 1:00 p.m. to 4:00 p.m. at a cost of $300.00; the Scottish Dancers and Piper will perform from 1:30 p.m. to 2:00 p.m. and 3:00 p.m. to 3:30 p.m.; Pumpkin decorating and the Cake Walk will occur as long as pumpkins are available and cakes area available; weather permitting canoes will be also available. c. Discuss food Vendors Mary Meranda will contact Jeff Corey from Caribou Coffee to determine if they will be a vendor for the festival. Caterer Mike Baines was sent a vendor contract as well as Scoops of Elmhurst. Member Antoniolli indicated that both of these vendors will participate in the event. Member Antoniolli will contact Connie Craig to determine what Weber Bakery is donating and if they would have cookies available to purchase that could then be sold. Contracts were sent by Chairman Gonnella to York Tavern and Armanetti's but they have not been received by Mary Meranda. She will contact the owners again in this regard. Mary Meranda sent a contract to Mr. Bill's and will follow up with him as it has not been returned. Chairman Gonnella will contact Director Tom Suhs, Oak Brook Park District for the use of their massage chair /therapist and popcorn machine. d. Discuss Set Up of Event and Location of Activities Mary Meranda will follow up and contact Chairman Gonnella if the rental company contract has been signed and the amount of the rental for the stage and tent. The Committee then discussed the Bath & Tennis staffing costs. It is estimated that four staff members are needed for parking, set -up and monitoring the canoes at a cost of $7.50 an hour for five hours. Member Antoniolli indicated that there are nine mothers from the area schools that are willing to volunteer for the event. The Committee will discuss this further as to what is needed for that day. A floor plan also needs to be developed for all of the activities and food vendors. e. Discuss and Approve Proposed 2005 Autumn Festival Budget The Committee reviewed the cost of the 2005 Autumn Festival. The cost for publicity and signage should be included in the budget with the possible purchase of the recognition plaques for the sponsors and the purchase of polo shirts for the members of the Autumn Festival Committee. Publicity should be included in the Oak Brook Civic Association newsletter, Village newsletter, Oak Brook Bath & Tennis Club newsletter with fliers Autumn Festival Committee Minutes Page 2 of 3 June 9, 2005 H 5. 31 e. located at the Library, Park District and area schools. The Committee concurred that the Autumn Festival fliers should be mailed by August 15th to all of the residents. The information is posted on the Village's website and cable TV. Chairman Gonnella will contact the Doings and Daily Herald to see if they could publicize this event in their Special Events section of their newspapers. f. Discuss Sponsorships Mary Meranda will follow up with information from B. Gunther in Downers Grove that offers plaques. The remainder of the revenue of approximately $400.00 would be used for the plaques. Vice Chairman Dabbouseh indicated that she would personally purchase desserts for the event to be sold to help raise funds. Member Link indicated that she has 300 bags from Kramer's Food Store for the pumpkin decorating activity for Member Naguib. Member Naguib indicated she would purchase at her expense markers and stencils for the pumpkin decorating event. The Committee then discussed their next meeting date as Chairman Gonnella stated she would be away for the next regularly scheduled meeting. The Committee agreed to change the date to a special meeting to be held July 7th. The Committee also requested that a squad car be located at the entrance of the Bath & Tennis Club so that people park appropriately in the designated parking area for the Autumn Festival. NEW BUSINESS: - None presented. ADJOURNMENT: Motion by Vice Chairman Dabbouseh, seconded by Member Naguib, to adjourn the Autumn Festival Committee meeting at 8:55 p.m. ATTEST: s /Linda K.
