Minutes - 06/13/2002 - Autumn Festival CommitteeAUTUMN FESTIVAL Committee Minutes of June 13, 2002 MEETING CALL: The meeting was called to order at 7:00 p.m. 2. ROLL CALL: PRESENT: Joyce Antoniolli, Rose Boersma, Nuha Dabbouseh, Ralph Maxson, Harry Peters, RonnDa Peters, Joan Philip, Asif Yusuf, Bonnie Sartore ABSENT: Mariette Adrian, Connie Craig, John Craig, Carolyn Link, Jan Lundquist, Nelly Naguib, Barb Nasharr, Karen Rooney APPROVED: AENUTES of the May 9, 2002 meeting. 4. BONNIE INTRODUCED Mr. & Mrs. Peters and Mr. Yusuf to the other members. VILLAGE BOARD UPDATE: Bonnie informed the Autumn Fest committee members that the present Village Trustees have expressed a desire to no longer subsidize Village -wide events such as the Independence Day celebration and the Autumn Fest. They want each event to be self - sufficient and suggest using such avenues as corporate sponsors. Bonnie noted that large sponsorships usually bring demands such as large promotions and larger crowds. Bonnie asked the members give some thought to large corporate sponsored crowds as opposed to encouraging only village resident participation. Input from the committee on the pros & cons of how best to hold these festivities will be passed along to the board. Bonnie also noted that the Village budget for community events has not increased in many years, while expenses continue to increase. 6. HARRY PETERS asked for input on fees collected at Autumn Fest. It was explained that we charge $.50 for some of the activities, such as the train ride, camel ride, moonwalk (those activities that are a large expense for the event), to help pay some of the cost. Since revenues collected from tickets do not cover the costs, Harry suggested raising the parking fee and eliminating the need to sell and collect tickets. The committee was asked to consider this proposal. The suggestion was made that resident cars (those with Oak Brook Civic Association stickers) could be charged less than non - residents. Harry also asked about the Park District participation in the past and informed the group he would ask them to again sponsor the moonwalk and perhaps do popcorn or another activity. 7. JOYCE ANTONIOLLI AND ROSE BOERSMA agreed to approach several businesses for sponsorships. Nuha brought the group up to date on letters she had mailed out. Asif mentioned several places he would contact and will also inquire about getting banners made, perhaps at cost or donated, for those sponsoring an event. 8. NEXT MEETING: July 111h 9.
