APPROVED AS WRITTEN OR AMENDED ON JULY 26, 2007 l . CALL TO ORDER: The Regular Meeting of the Autumn Festival Committee was called to order by Co- Chairman Linda Gonnella at 7:05 p.m. in the Oak Brook Sports Core Administration Building, 700 Oak Brook Road, Oak Brook, IL . 2. ROLL CALL: PRESENT: Co- Chairman Nuha Dabbouseh and Linda Gonnella, Committee Members Connie Craig and Deborah Effrein. ABSENT: Joyce Antoniolli and Nelly Naguib. IN ATTENDANCE: Nelson Patras, Bath & Tennis Club Operations Manager, Trustee Kathryn Manofsky and resident Elaine Zannis. 3. APPROVAL OF MINUTES: a. Minutes of the Regular Meeting of May 21, 2007 Member Effrein noted a correction to the minutes of the amount of the Prince and Princess pony rides was not indicated on the first page of the minutes under Agenda Item 4, b., last sentence. It should read as follows " Their cost is approximately $1,100.00." Member Craig indicated that under Agenda Item 4. a., a sentence should be included as follows: "She would further speak with Elaine Zannis if she would want to sponsor an event again this year." Motion by Member Craig, seconded by Co- Chairman Dabbouseh, to approve the minutes of the May 21, 2007 Autumn Festival Committee meeting as amended. VOICE VOTE: Motion carried. 4. UNFINISHED BUSINESS: a. Discussion of Sponsorships Co- Chairman Gonnella asked the Committee if she should contact Realtor Nikki Ricci regarding sponsorship as she had not responded to President Quinlan's letter. The Committee concurred that she should be contacted as she enjoyed sponsoring an event last year. Member Craig explained that she had spoken with Realtor Elaine Zannis and she wanted to be a sponsor this year and would be attending the meeting. She attended the meeting and indicated she would be a $300 sponsor. She will provide popcorn and balloons to the public for her activity. Member Craig noted that Citibank may be Autumn Festival Committee Minutes Page 1 of 3 June 19, 2007 4. a. providing t- shirts, water bottles or balloons to the public where they will be sponsoring an activity. Co- Chairman Gonnella read a thank you letter she drafted for all of the sponsors indicating they will receive some type of recognition for their sponsorship of Autumn Festival, a plaque or certificate of appreciation and pictures of their sponsored activity the day of the event. The Committee approved the recommended letter. One of the hotels donated a raffle item rather than a sponsorship and it was suggested that the item be used as a door prize. Adult attendees will be invited to submit their name and phone number on a ticket and a winner will be drawn late in the day. b. Discussion of Activities Co- Chairman Gonnella presented the Committee members with the 2007 Autumn Festival Financial Report as this must be submitted to the Village Board of Trustees for approval before July 1St of this year. The Committee discussed more activities to be included as Citibank gave a donation and Costco became a sponsor again this year so our revenues increased. The Committee agreed to engage Todd's pony rides as a new activity. Co- Chairman Dabbouseh was able to enlist a chemist to perform interesting activities for the event. The Committee also agreed to expand the Moon Jump activities which were very well received last year. Co- Chairman Gonnella volunteered to check with the Executive Director of the Oak Brook Park District to determine if they wish to participate this year in the Autumn Festival and if they had another type of activity they could provide. c. Discussion of Food Vendors The Committee recommended that the Bath & Tennis Club provide hot dogs, hamburgers, chicken, salads and ice cream for the public to purchase at the poolside grill. They will also provide a bartender for soft drinks and beer to be sold. More B & T staff members will need to be utilized for the food and bar area as well as to provide assistance with the three Moon Jump activities. d. Discussion of Equipment Requirements It was suggested that a tennis court be used with the two tents the Bath & Tennis Club has for activities at each end of the court. Chairs will be set up also for the public. The chemist and Butterfly Garden activities could be held there as these activities will be staggered between the magic shows. NEW BUSINESS: Village Trustee Kathy Manofsky attended the Committee meeting as the liaison from the Board of Trustees for the Autumn Festival Committee. She asked if the Committee members would be willing to plan the 2008 Autumn Festival in conjunction with the 50th Anniversary of the Village of Oak Brook as their theme. The members concurred with her request. Co- Chairman Gonnella indicated that she had already presented the idea to the Autumn Festival Committee during the May, 2007 meeting and that the Committee endorsed the idea. She noted that the Autumn Festival Committee members are required to complete an application for this Committee and have a criminal background check as required in the Village's newsletter to be submitted for Village Board approval. Trustee Manofsky felt that this was an error and this Committee should not have been included in these guidelines as they only have one year terms and would have to re -apply each year. She will verify this with Pat Horne, Assistant to Village President Craig, if this could not be required for volunteers. She then explained the Oak Brook Historical Society is working with the Peabody Mansion in developing a calendar of events for the Village's 50th anniversary in 2008. They are engaging different organizations to have a representative attend meetings to develop these events and Trustee Manofsky asked if a member would volunteer from our Committee. She suggested a street dance could be held in conjunction with the Autumn Festival such as hay rides or a cider fest possibly along with hay rides or a cider fest. Member Effrein was interested to participate but unable to attend their next meeting scheduled for June 21St at 10:00 a.m. at the Peabody Mansion. The Committee determined the next meeting to be Thursday, July I9th at 7:00 p.m. 6.
