Minutes - 07/08/2004 - Autumn Festival Committeer' tiI ; MINUTES OF THE JULY 8, 2004 MEETING OF THE AUTUMN FESTIVAL COMMITTEE OF THE VILLAGE OF OAK BROOK APPROVED AS WRITTEN ON AUGUST 12, 2004. 1. CALL TO ORDER: The Regular Meeting of the Autumn Festival Committee was called to order at 7:10 p.m. in the Oak Brook Bath & Tennis Clubhouse, 800 Oak Brook Road, Oak Brook, IL 2. ROLL CALL: PRESENT: Rose Boersma, Nuha Dabbouseh, Linda Gonnella, Nelson Patras, Interim Oak Brook Bath & Tennis Club Manager and Mary Meranda, Sports Core Secretary. ABSENT: Chairman John Craig, Mariette Adrian, Joyce Antoniolli, Connie Craig, Carolyn Link, Ralph Maxson, Barbara Nasharr, Nellie Naguib, Harry Peters, RonnDa Peters and Asif Yusuf. 3. APPROVAL OF MINUTES: The minutes of the June 10, 2004 Autumn Festival Committee meeting were approved as presented. ,10 4. UNFINISHED BUSINESS: Passed Budget The Committee reviewed the Entertainment schedule and expenses. Saturday Preview Party expenses totaled $2,300.00. The Sunday Autumn Fest expenses totaled $6,095.00. The Committee agreed that the Franceska's Marionettes are to be deleted and replaced with the Moon Walk. Nuha Dabbouseh will contact the vendor for this at a cost of $200.00. The Committee reviewed the donor list as provided by Committee member Peters for a total amount of $8,500.00 in donations. The Committee then reviewed the Oak Brook Autumn Fest 2004 Budget showing Saturday Preview Party income of $7,000; Sunday Fest income of $17,400 with expenses for the Saturday Preview Party of $8,300; Sunday Fest expenses of $16,720. Total income of $17,400 is budgeted for the two day event while expenses total $16,720 indicating a $680 profit. Autumn Festival Committee Minutes Page 1 of 3 July 8, 2004 • 5. VENDORS: 5. The Committee then discussed that vendors will provide their own power. Food vendors that were discussed to be contacted is a kettle corn vendor, ice cream vendor, Panda Express, Viceroy of India and Burlington Coffee. Linda Gonnella will contact Brown Chicken owner Frank Portillo to see if his company would sell hot dogs, hamburgers or Italian beef. Nelson will contact Joe Perrino, Home Run Inn Pizza, to explain what is required for selling pizzas. The Committee discussed Asif Yusuf providing sweet corn that could be cooked and sold by the Bath & Tennis Club staff. Further discussion of this is necessary, as B & T staff would have to be paid for their time. Linda Gonnella passed out advertisement that is being placed in the Oak Brook Park District brochure and also the Village newsletter for both events. The committee then discussed the vendor event list and the following contacts will be made by members: Nuha Dabbouseh will contact Walking on the Wild Side, Tim Adams Magic Show, Amazing Party Productions, Prince and Princess Ponies and Moon Walk for four hours. Nellie Naguib is contacting Armanetti Liquor, Accordion player, Rudy Kazoodi and a vendor for hayrides. Ralph Maxson is the contact for the West Suburban Concert Band. Asif Yusuf is the contact for the Oak Brook Fire Department and he will provide pumpkins for the children. Harry Peters will contact the Oak Brook Park District Premier Fitness Club and the Park District for a massage chair, staff person and popcorn machine. The committee members are to check on where to purchase small cakes for the cake walk event. It was suggested that the B & T staff provides beer and pop for sale. The next Autumn Festival Committee meeting is schedule for Thursday, August 12, 2004 at 7:00 p.m. 6.
