Minutes - 07/11/2002 - Autumn Festival CommitteeAUTUMN FESTIVAL Committee Minutes of July 11, 2002 MEETING CALL: The meeting was called to order at 7:15 p.m. 2. ROLL CALL: PRESENT: Joyce Antomolli, Nuha Dabbouseh, John Craig, Ralph Maxson, Harry Peters, Joan Philip, Asif Yusuf (late), Bonnie Sartore ABSENT: Mariette Adrian, Rose Boersma, Connie Craig, Carolyn Link, Jan Lundquist, Nelly Naguib, Barb Nasharr, RonnDa Peters, Karen Rooney MINUTES of the June 13, 2002 meeting were approved. 4. Committee members asked for further information regarding the June discussion of the Village Board's feeling that the special events such as our Independence Day celebration and Autumn Fest should be self sufficient. Bonnie reiterated her understanding from the Board that Department heads had been instructed to cut back on expenses for the upcoming budget process and that a couple of board members in particular, felt that community events is an area in which great savings could be accomplished. Sponsorships: Sponsorships are still being sought and Bonnie will prepare a letter of introduction and information on the Autumn Fest for John to take to the Private Bank for this year's sponsorship. Harry informed the board that the Park District will vote on their sponsorship of the Moonwalk at their August meeting. 6. Ticket Sales: Members in attendance discussed Harry Peters' previous suggestion to eliminate tickets at several attractions and increase the parking price. This eliminates the need to find volunteers to sell and take tickets as well as simplifying the day for the attendees. Based on the previous year's deposits for tickets sold and parking fees collected, the committee felt that $5.00 per car would equal or better the previous year's revenues in these areas. When parking fees are collected, John suggested we also have a counter along with the parking service to verify the number of cars and totals collected. Passes will be given to those who leave the grounds, but intend to return, (those who take their animals home, etc.) 7. Pet Parade: The pet parade will be open to all residents this year — not just those in eighth grade or lower as was done last year. A notice for the Pet Parade will go out in the Aug. /Sept. mailing. Raffle: Bonnie will contact the Oak Brook Women's Club about taking out the raffle license as their community project. She will also ask them about doing the tickets. If they do not do them, Joan volunteered to do them as in the past. The cost will be $2.00 each or 3 for $5.00. Nuha suggested a Silent Auction for larger prizes. 9. NEXT MEETING: August 8 at 6:30 p.m. The meeting will be devoted to stuffing envelopes for the village wide mailing. Committee members are invited to bring other volunteers as well. Refreshments will be served. 10. Adiournment: 8:15 p.m. Respectfully submitted, Linda Lojewski
