Minutes - 07/18/2006 - Autumn Festival CommitteeMINUTES OF THE JULY 18, 2006 MEETING OF THE AUTUMN FESTIVAL COMMITTEE OF THE VILLAGE OF OAK BROOK APPROVED AS WRITTEN ON AUGUST 14, 2006 I. CALL TO ORDER The Regular Meeting of the Autumn Festival Committee was called to order by Chairman Linda Gonnella at 7:10 p.m. 2. ROLL CALL PRESENT: Chairman Linda Gonnella, Members Joyce Antoniolli, Deborah Effrein and Nelly Naguib. ABSENT: Vice Chairman Nuha Dabbouseh and Member Connie Craig. IN ATTENDANCE: Nelson Patras, Interim Bath & Tennis Club Manager. 3. APPROVAL OF MINUTES Meeting Minutes of June 15, 2006 Motion by Joyce Antoniolli, seconded by Deborah Effrem, to approve the Autumn Festival Meeting Minutes of June 15, 2006 as written. VOICE VOTE: Motion carried. 4. UNFINISHED BUSINESS a. Discuss and Approve Sponsor Plaques The Committee discussed the costs of the plaques. It was a consensus of the Committee that the plaques would cost approximately $100 -$150 for a $5,000 sponsor; $85 -$100 for a $1,000 sponsor and $25 for a $650 sponsor. The remaining sponsors will receive some form of appreciation certificates. b. Discuss Food Vendors The Committee then discussed the location of the food vendors. Mary Meranda will contact Uncle Bub's for the amount of space they require of their BBQ wagon and what size generator they would require. She will further contact Scoops to determine their space needs also. Mary Meranda will follow up with Sal's Beverages to determine if they are going to participate in the wine tasting segment of the Autumn Festival. c. Discuss Activities and Entertainment The Committee discussed the logistics of all of the activities. A map will be drawn showing the locations of the food vendors and activities. The Committee discussed locating the Bus -O -Fun and Mr. D's Magic Show across from each other in the parking VILLAGE OF OAK BROOK Minutes Page I of 3 June 15, 2006 H 5. C. lot. The trackless train would be located on the polo field and the Slide Jump will be located in back of the Clubhouse. The food vendors will be under the tent with tables for the public in the center of the tent. Mary Meranda will also contact the DuPage Children's Museum for the amount of space they require. They maybe located in the Clubhouse. Space for the caricature artists will be along the side of the tent if feasible. They may be located in the Clubhouse also. Chairman Gonnella recommended that R & B parkers be hired to help set up for the day at 9:00 a.m. and the Committee concurred. The reasoning for this request is that last year the setup of the events were delayed due to the amount of time needed for each of the activities and not enough staff was available early in the morning. Mary Meranda will contact R & B as to the additional cost of this request. She will further check the number of banners to insure that all of the sponsors have banners for their sponsored events. Chairman Gonnella notified the Committee members that Ralph Maxson requested the Committee to consider having the Elmhurst Band perform during the day. The Committee noted that all of the events have been scheduled and due to the ,size of the event that their space needs were not available. She will contact Mr. Maxson and let him know of their decision. d. Discuss Location of Events The Committee discussed using the two Sports Core 10' x 20' tents for realtors Nikki Ricci and Elaine Zannis with tables for them in front of their sponsored activities. Due to the mailing of the Autumn Festival flyer in the Oak Brook Civic Association newsletter, the budget will be affected as the cost was only $175.00 rather than the budgeted $1,500 mailing and the budget will be adjusted accordingly. Chairman Gonnella distributed flyers to the Committee to be dispersed to the area schools. Member Antoniolli will take them to Oak Brook Christian Church, Butler Jr. High School and Brook Forest School. Member Naguib will distribute the flyers to the Oak Brook Public Library, Oak Brook Park District, Salt Creek School, Stella May Swartz School and Albright School. The Oak Brook Civic Association and the Oak Brook Park District will have tables located next to each other for their displays. Rudi Kazoodi has requested that both clowns be separated in a shaded area. They could be located in the patio area behind the Clubhouse that is covered or in the Clubhouse if enough space is available. NEW BUSINESS The Committee set the next meeting date for Monday, August 14th at 7:00 p.m. VILLAGE OF OAK BROOK Minutes Page 2 of 3 June 15, 2006 6.
