MEETING MINUTES FROM JULY 239 1998

The meeting was called to order at 7:15 p.m. with the above referenced list of committee
members in attendance.
The minutes from the meeting of June 11, 1998 were approved.
The entertainment committee via Bonnie reported that the entertainment program appears
to be full, with a complete array of amateur entertainers as well as professional
entertainers. The length of the show can be extended somewhat to accommodate any
additions during the next month if necessary. The entertainment expenses, as planned will
keep us within our entertainment budget for this years event.
• There was a discussion as to when the Elmhurst College Jazz Band should play at the
Preview event, since they play for three hours with a couple of breaks. It was agreed that
we should ask them to write in their contract that they will play from 8:00 p.m. to 11:00
p.m. Bonnie explained to the committee that Doug Beach from the college indicated that
if our dinner was running late they would delay starting. He simply needed a starting time
to make sure that all of his band members arrived on time.
The mailing was prepared and stuffed lovingly by the committee members It will be
mailed August 19, 1998.
The Ethnic Fest budget for the Preview Party and the event is the same as it was for 1997,
except for an increase in anticipated revenues based on the Preview Party ticket price of
$15.00 The other exception is that the expenses for the Sunday event are reduced due to
the fact that we will not be purchasing any more merchandise for resale. These two items
alone should allow us to come very close to our goal. An updated version of the two
budgets will be presented at the next meeting.
The committee also decided that we can include two pizza companies, Home Run Inn and
Aurelio's, so long as both are informed that there will be two companies and they make an
attempt to coordinate the items they are vending. Bonnie will take care of that matter.
