Minutes - 08/14/2006 - Autumn Festival CommitteeMINUTES OF THE AUGUST 14, 2006 MEETING OF THE AUTUMN FESTIVAL COMMITTEE OF THE VILLAGE OF OAK BROOK APPROVED AS AMENDED ON SEPTEMBER 11, 2006 1. CALL TO ORDER The Regular Meeting of the Autumn Festival Committee was called to order by Chairman Linda Gonnella at 7:07 p.m. 2. ROLL CALL PRESENT: Chairman Linda Gonnella, Vice Chairman Nuha Dabbouseh, Members Deborah Effrein and Nelly Naguib. ABSENT: Members Joyce Antoniolli and Connie Craig. IN ATTENDANCE: Nelson Patras, Interim Bath & Tennis Club Manager and Sports Core Secretary Mary Meranda. 3. APPROVAL OF MINUTES Meeting Minutes of July 18, 2006 Motion by Deborah Effrein, seconded by Chairman Gonnella, to approve the Autumn Festival Meeting Minutes of July 18, 2006 as written. VOICE VOTE: Motion carried. 4. UNFINISHED BUSINESS a. Approve Sponsor Plaques The Committee reviewed plaques and determined the plaques to be given to the different categories of sponsors. Mary Meranda will order the plaques. New banners will be purchased in the same color for each of the sponsors and located in front of their sponsored activity. b. Discuss Food Vendors Mary Meranda informed the Committee that Lucca Pizza declined to participate this year. She contacted Michael Anthony's of Villa Park and they will be a food vendor for the event. She has not received any response from Caribou Coffee and has contacted Gloria Jean's in the Oakbrook Shopping Center if they wish to participate. She will let the Committee know at the next meeting if they are willing to participate. Sal's Beverages has agreed to host the wine tasting portion of the Autumn Festival. She spoke with the Oak Brook Park District and they will have a therapist with the massage chair, a popcorn machine will be available and they plan to offer other activities. A table will be set up for them next to the Oak Brook Civic Association representatives in the Pre - function Room of the Clubhouse. VILLAGE OF OAK BROOK Minutes Page 1 of 3 August 14, 2006 4. c. Discuss Activities and Entertainment Chairman Gonnella announced that due to the postage savings incurred by including the flyer in the Civic Association's newsletter, Mary Meranda was able to contract with the Moon Jump company for expansion of their activities. A 20' x 55' obstacle course will be included along with a slide attached to the MoonJump for our children activities. The Committee discussed Mr. D's Magic Show and determined that additional chairs should be placed in front of his show. d. Discuss Location of Events The pumpkin painting activity will be located in a corner of the parking lot and a Sports Core staff member will coordinate the activity. The additional cost of $324.00 will be expended for R & B staffing to assist in the setting up of the vendors from 9:00 a.m. to 12:00 p.m. The MoonJump and obstacle course will be by the old tennis court behind the Clubhouse. Committee members were asked to be at the Clubhouse at 10:00 a.m. the day of the event to help direct the vendors in where they are to be located and if they need any equipment or supplies. Mary Meranda has agreed to donate orange table covers for the food area. She will contact Ray Rocke for the use of walkie talkies as it is difficult to reach Committee members if assistance is needed during the day for any activities. The trackless train will be set up in the north end of the soccer field. The DuPage Children's Museum %activities will be located in the Clubhouse. They require a 5' x 2' table for their magnet activity and ramps and rollers require a 16' x 16' area which will be in the Saddle Club Room. Mary Meranda will contact the Museum for the size of the art program and then determine where it should be located. The DARE vehicle, Fire truck and ambulance will be located in front of the Clubhouse. R & B will close off the front entrance of the Bath & Tennis Club and divert the public to the entrance on Polo Drive. Nelly Naguib will donate and purchase markers for the pumpkin painting activity. Deborah Effrein indicated that Joyce Antoniolli will not be able to attend the Autumn Festival but Lyn Tietz has graciously agreed to help with the activities for the day. 5. NEW BUSINESS The Committee set the next meeting date for Monday, September 11th at 7:00 p.m. VILLAGE OF OAK BROOK Minutes Page 2 of 3 August 14, 2006 6.
