Minutes of October 19, 2000
MEETING CALL: The meeting was called to order at 7:00 p.m. following a buffet supper for
all committee members.
ROLL CALL: PRESENT, Joyce Antoniolli, Doreen Barrett, Adam Butler, Jan Lundquist,
Barbara Nasharr, Joan Philip, Bonnie Sartore
ABSENT: Mariette Adrian, Michelle Butler, Connie Craig, Nuha Dabbouseh, Carolyn Link, Ralph
Maxson, Nelly Naguib, Tom Truedson. ALSO PRESENT: Linda Lojewski, Jack Sartore.
The meeting began with general comments on both the Preview Party and the Autumn Festival itself
The committee agreed that the Preview Party was the best so far — food was outstanding, the guest list
contained both "new" and "old" residents, and the only negative comment heard was perhaps the band
was too loud for those wanting to talk. Bonnie suggested another configuration of the tables and
placement of the band that could be tried next year to better disperse the music. It was noted,
however, that another committee member mentioned the music was hard to hear.
Si na a continues to improve but more directional, informational signs will be needed as the activities
are spread out even further on the grounds. Part of the problem this year was securing them where
they would be noticeable, but able to withstand the wind. Maps showing activity locations were
available at the front table and also in the Clubhouse. It was suggested that these also be handed out to
everyone when the parking fee is collected.
5. Entertainment on the stage did not flow as smoothly this year, partly because of a few last minute
additions. While the committee appreciated the efforts to get entertainment to fill the time slots, it was
decided that next year, the schedule will need to be finalized earlier in the week. This not only helps
with the schedules but also with publicizing the entertainment.
6. Publicity options were discussed. Some committee members questioned the use of press releases and
how wide spread we wanted to publicize the event. It was the consensus that until the number of
attendees reached beyond our capacity, we would encourage people from other communities to attend
and the press releases are a good method of publicity. Estimated attendance at this year's Autumn
Fest, based on parking revenues, was approximately 2500. The committee also suggested posters be
placed at the Golf Club and Park District facilities next year.
7. Vendors: Jan mentioned that she had talked to all of the vendors and several indicated that they
would like to return next year. Those who were the most positive were the vendors who had items
geared to children. We will send invitations to all of this year's vendors and continue to look for
others, particularly those with items for the younger crowd.
8. Special Attractions to draw the older children in families were also discussed. Adam suggested
doing a water fight with the fire department like the one at Oak Brook Day, 1999. Other suggestions
included sports exhibitions such as tennis, a polo or possibly a rugby match. Other new additions
considered for next year include camel rides and a mini -golf course.
9. Volunteers: The shortage of workers was a concern. Because school groups commit early to service
projects, it was suggested that during this school year contacts be made and the date of next year's
event (Sept. 30) be sent to clubs that do service projects so they can consider Autumn Fest for their
project. The committee will also look for a local Rotary or Jaycees group and McDonald's for help.
