Minutes - 02/08/2018 - Sports Core Advisory CommitteeMINUTES OF THE FEBRUARY 8,2018 MEETING OF THE OAK BROOK SPORTS CORE ADVISORY CO市 IⅣIITTEE OF THE VILLAGE OF OAK BR00K APPROVED AS WRITTEN ON MARCH 15,2018 CALL TO ORDER The Meeting of the Sports Core Advisory Committee of the Village of Oak Brook was held in the Upper Level Conference Room at the Butler Government Center and called to order by Chairwomen Angie Lopez at 7:01 p.m. PRESENT: Angie Lopez, John Anos, Lara Barber, Erin Converse, Melissa Martin, Kathy Miller, Frank Scarpiniti, Lynna Smith ABSENT: Mike Stevens IN ATTENDANCE: Village Manager Rick Ginex, Village President Gopal Lalmalani, Village Executive Assistant Donna Bettin, Golf Club Manager Sean Creed APPROVAL OF MINUTES Chairwoman Angie Lopez motioned to approve the minutes from the January ll,20l8 Sports Core Advisory Committee meeting as amended (name correction). Seconded by Member Lynna Smith. Voice vote. Motion carried. PUBLIC COMMENTS - None GOLF CLUB UPDATES Golf Club Manager Sean Creed gave a recap of the steps taken to-date on the modifications of Golf Club. He distributed a handout of information from Williams Architects that includes Pro Shop transaction area, outdoor patio and some renderings that Williams had done that needs some discussion on prior to going out to bid. Cost estimates are high for the Pro Shop but are in-line for the patio. Next steps are to see how the Committee feels about the plan, present the plan to the Board, then out to bid and wait for the numbers to come in. Discussion ensued. Chairman Lopez motioned to recommend to the Village Board, to move forward to bid the proposed Williams Architect plans/modifications to the Golf Course. Lynna Smith seconded. Voice vote. Motion carried. Discussion ensued regarding the Golf Course signage. In past meetings, it was determined that the Committee needed to defer the sign discussion until decisions were made regarding the Bath & Tennis Club pool, tennis and membership operations which took priority. The Committee asked Sean to obtain sign designs and price quotes for both the Bath & Tennis Club and Golf Course signs for the next Sports Core Advisory meeting in March. PROGRAM FEES/BROCHURE A. Bath & Tennis Club Membership, Swim Programs and Tennis Fees - Discussion ensued regarding the various proposed fees for memberships, guest fees and tennis fees. B. Golf Club Membership, Golf Lessons/Programs and Green Fees - no discussion. Manager Ginex explained that he has had several meetings with the Park District regarding the Sports Core brochure. They have someone on staff who can compile and design the brochure for us. This brochure will include the same pool/swim programs information that is in the Park District brochure, membership forms, waivers and program registration forms. Tennis and golf programs are updated and included as usual. We can utilize their printers if the Committee decides that is the route they SCAC l2-18-17 Mtg Minutes want to go. Discussion ensued. It was determined to keep it all with the Park District and use their printers. Manager Ginex also met with the Park District, Village IT staff and Public Works to discuss membership registrations, ID cards and numbers as well as preparing the pool for opening day. The Park District has a different software program and system than the Village does. To make things simple for this year, we will use one ID Card and one number. IT staff is going to put in a connection so the Park District has connectivity to the Village. The plan with Public Works is to have the pool filled by May lst so the Park District can start the training of their staff. Public Works is fixing pool drains, and making the necessary repairs to the pools. The Village will be ordering new chairs that are a little higher for ease in getting on/off. We will be installing swipe systems rather than keys to the various areas at the Bath & Tennis Club. On the banquet side of things, the Clubhouse is gaining in popularity and is rented almost every weekend and Marianne Long is taking bookings into 2019. Member Barber reported she attended the Conference meeting for swim team. There will be 6 meets, and out of those 6, Oak Brook swim team will host 3 of those meets this season. Water polo will be run differently this year, should be more successful. Finalizing junior coaches, and everything looks good and on-track. RECOMMENDATIONS TO VILLAGE BOARD - See above regarding Golf Club renovation project. OTHER BUSINESS -None at this time. NEXT MEETING DATE: March 15,2018.
