Minutes - 08/10/2017 - Hotel Convention and Visitors CommitteeMINUTES OF THE SEPTEMBER 14, 2OI7 MEETING OF THE OAK BROOK HOTEL, CONVENTION AND VISITORS COMMITTEE OF THE VILLAGE OF OAK BROOK APPROVED AS WzuTTEN ON MAY I O, 20 I 8 CALL TO ORDER: The Regular Meeting of the Oak Brook Hotel, Convention & Visitors Committee of the Village of Oak Brook was held in the Upper Level Conference Room at the Butler Government Center and called to order by Chairman Canfield at 8:05 a.m. PRESENT: Dr. Abbasy, Norm Canfield, Kristin Duncan, Steven Mansmith, and Valentina Tomov ABSENT: Melanie Bradshaw, Paul Cardona, Walt Hajduk, Mort Kouklan and Caryn Torres. IN ATTENDANCE: Rick Ginex, Village Manager, Trustee Saiyed, Village Trustee, Jason Paprocki, Finance Director, Megan Martin, Hyatt Lodge, Katie Funk, Hamish McDonald and Rob Grusin, Point B Communications. 2OI8 BUDGET DISCUSSION A. Budget Projections & Discussion Items - Jason Paprocki explained the budget projections on a spreadsheet that was distributed prior to the meeting. The revenue listed for 2017 reflects projections from the 5-year plan. There is a bump in revenue in 2018 with the opening of the Hyatt House Hotel. Discussion on the current market ensued. The Hotels are gearing their budgets for anywhere between a loh - 5% decline for next year. McDonald's departure will have an impact on all of the Oak Brook Hotels as well as DuPage County. Discussion ensued. B. Marketing Budget Options - Based on feedback from the Hotels, Point B put together some budget "wish" list recommendations. Some of these include: Video messaging (on-line streaming, facebook video ads, news feeds), Social Media marketing, internal data bases/first party data tools, and additional marketing dollars. In 2013 the marketing budget went from $300,000 to $250,000; reduced by $50,000. The Committee would like to see an additional funds put back into advertising, as well as some form of incentives as recommended by the Chamber. Discussion ensued. C. 2018 Budget Recommendations - Rob Grusin from Point B Communications explained what was working in 2017 and what they would like to enhance and add to the 2018 Budget. The Video message would be a great marketing resource and is the most popular tool for marketing. Videos are about l5 seconds a piece. Idea would be to do several pieces. Also, add sgcial media. A Hotels of Oak Brook facebook page can be done and include the video content. Someone will have to monitor every day, but a great tool for advertising/marketing. The consensus of the Committee is to request the Village Board to approve the addition of $130,000 to the advertising budget and an additional $30,000 for Incentives.
