Minutes - 01/10/2013 - Hotel Convention and Visitors Committee (2) �G8 OF 04,4 4 MINUTES OF THE JANUARY 10, 2013 MEETING OF THE OAK BROOK HOTEL, CONVENTION AND VISITORS COMMITTEE OF THE ® 0 VILLAGE OF OAK BROOK UNOFFICIAL UNTIL APPROVED AS o WRITTEN ON OCTOBER 10, 2013. qCF OO U N'T'" CALL TO ORDER: The Regular Meeting of the Oak Brook Hotel, Convention & Visitors Committee of the Village of Oak Brook was held in the Upper Level Conference Room of the Butler Government Center and called to order by Chairman Norm Canfield at 10:03 a.m. Chairman Norm Canfield called the roll with the following persons: PRESENT: Norm Canfield, Martin Schooley, Mort Kouklan, Iftikharu Abbasy and Tracy Mulqueen. ABSENT: Chuck Fleming, Tom Cappucci, and Jeremiah Drummond. IN ATTENDANCE: David Niemeyer, Village Manager, Donna Bettin, Executive Secretary, Krystal Glispie, Hyatt Lodge, and Shelly Encher, Chamber of Commerce, Valentina Tomov, Chamber of Commerce and Skip Strittmatter, DuPage Convention and Visitors Bureau. APPROVAL OF MINUTES A. October 11, 2012 Meeting and November 14, 2012 Special Meeting. M. Schooley motioned, Dr. Abbasy seconded to approve both the October 11, 2012 regular Meeting and the November 14, 2012 Special Meeting minutes as presented. VOICE VOTE. Motioned carried. UNFINISHED BUSINESS A. 2013 Marketing Plan—Krystal Glispie reported that the Marketing Committee met and reviewed the plans presented by the two marketing firms. They agree that they liked Point B's campaign and knowledge of the Oak Brook area. She also reported that they would like to see some things moved around a bit. Discussion ensued. The Committee feels Point B has become comfortable and a little repetitive in their campaigns for the Hotels of Oak Brook. It was the consensus of the Hotel Committee that the Village give Point B a 1 year agreement, provided they come up with a new campaign and bring the cost back down to $165,000. M. Schooley motioned, Dr. Abbasy seconded, to give Point B a 1-year agreement, provided they come up with a new direction for the marketing plan. VOICE VOTE. Motion carried. Krystal Glispie will contact Point B, notify them of the direction and set a time for a special meeting for them to present a new campaign. B. Streetscape Committee Update—Mort Kouklan will represent the Hotel Committee on the Streetscape Committee. Manager Niemeyer reported that the project for the work from Salt Creek to Spring Rd. needs to be re-bid by IDOT. This will cause a slight delay with the project. Manager Niemeyer updated the Committee on the Pedestrian Access project. Hitchcock OAK BROOK HOTEL COMMITTEE Minutes Page 1 of 2 Mtg. of January 10,2013 Design has been working diligently on this project to try and meet the reasonable requests made by the stakeholders and the Streetscape Committee. The plan is in place and discussions will begin with Stakeholders on assistance with financing the project. Discussion ensued. NEW BUSINESS A. Polo Update—Manager Niemeyer explained the thought process for the 2013 Polo season. Some of the ideas include working with the Hotels on overnight package program, doing something at the Mall in late July, early August & September. It was also mentioned that the Hotels used to show polo videos in their Lobby's and this is something that could be brought back. A lot of these details will be discussed and decided upon by April. Skip Strittmatter discussed the various options available in which the DCVB could assist with the marketing of Polo and hotel bookings. DU PAGE CONVENTION AND VISITORS BUREAU UPDATE— Skip Stritmatter reported that after 10 years of requests to IDOT about signage, it is finally going to happen on the toll roads. There will only be a couple of attraction signs allowed and one of them will be for the Oakbrook Center mall. She also discussed future events the DCVB will be working hard on,the three FAMS, State Wars and the International Women's Golf event for 2016. DCVB is in the process of installing new software system so reporting will become a lot easier. GREATER OAK BROOK CHAMBER OF COMMERCE Tracy Mulqueen introduced Shelly Encher and Valentina Tomov. Shelly confirmed the meeting planners luncheon in August and Valentina confirmed three building fairs scheduled for this year. OTHER BUSINESS ADJOURNMENT Motion by Dr. Abbasy, seconded by M. Kouklan to adjourn the Regular Meeting of the Hotel Convention and Visitors Committee at 11:00 am. ATTEST: David J.
