CALL TO ORDER:
The Special Meeting of the Oak Brook Hotel, Convention& Visitors Committee of the Village of
Oak Brook was held at the Hyatt Lodge and called to order by Chairman Norm Canfield at 8:06
a.m.
Chairman Norm Canfield welcomed everyone.
PRESENT: Norm Canfield, Mort Kouklan, Jeremiah Drummond, Chuck Fleming, Iftikharul
Abbasy, Martin Schooley and Chris Johnson.
ABSENT:
IN ATTENDANCE: David Niemeyer, Village Manager, Donna Bettin, Executive Secretary,
Sharon Dangles, Village Finance Director, Trustee Don Adler, Trustee Mark Moy
and Krystal Glispie, Hyatt Lodge.
2013 BUDGET UPDATE
Finance Director Sharon Dangles discussed the 2013 budget and what the current status is to-date.
Krystal Glispie gave a brief report on the marketing campaigns current through year end. The
Hotels of Oak Brook will be promoting an incentive for meeting planners who book with the
Hotels. This has had a positive impact in bookings in the past.
In reviewing the budget for 2013, DCVB oversees the invoices for the Hotels of Oak Brook
marketing program and it appears that the budget is in line with the timing and expenditures as
planned.
Krystal went on to explain that Point B has done what the Committee has asked and thought out
of the box for marketing and the hotels are seeing good results.
The Commercial Real Estate Luncheon and the Meeting Planners Luncheon hosted by the
Chamber combined with the gift card incentive program should be a good promotion for this
year. Discussion ensued.
Discussion was held about the grant process and the cost sharing for the pedestrian project related
to the numbers included in the budget. These funds come out of the 2% Hotel Tax Fund. Marty
Schooley requested to see a breakdown of what the businesses will be contributing towards the
pedestrian access project possibly for the next meeting.
2014 BUDGET DISCUSSION
Manager Niemeyer explained that the I%portion of the 2014 budget includes revenue from the
Spring opening of the LeMeridien Hotel.
Manager Niemeyer proposed that an additional $15,000 be placed in the I% fund for
marketing/advertising. $10,000 would be utilized for the Polo program and $5,000 would be

added to the Hotels of Oak Brook marketing plan. He explained that the Village would have the
Hotels of Oak Brook be a sponsor as a group instead of individual hotels. Sponsorship would
include banners, shared tent, some chairs and other items however any hotel could choose to
upgrade and get their own tent and additional tables/chairs at cost. Hotels of Oak Brook Polo
packages could be incorporated and marketed by Point B as part of the marketing campaign.
Point B could research what audiences to market and create a bigger and better event to benefit
the Hotels. Discussion ensued.
In addition to the discussion regarding the 2% budget, Manager Niemeyer explained the past
circumstances surrounding the gateway signage on 22nd Street and York Road, that project has
been included in the 2% fund. The Hotel/Business Incentive program, which is an opportunity to
retain business in the Oak Brook Hotels is also included.
For the 2014 budget, Krystal Glispie will give Point B direction to include 2 levels of a marketing
plan: one for $160,000 and one for $170,000. The Committee also wants to be sure it supports
the addition of the new hotel LeMeridien.
OTHER BUSINESS
Chuck Fleming reported that the projections for the new hotel are for an April 2014 opening.
Also, he is being cautiously optimistic that the retail sales will increase 2% - 4% in 2014. He said
this is a very conservative number.
Next scheduled Hotel Convention and Visitors Committee meeting is set for Thursday, October
10, 2013 at Village Hall.
