Dear Mr. Ginex:
It was a pleasure to visit with you, Mike, Doug, Sharon, Sean and Jeff earlier this year to tour the Golf
Course Clubhouse and discuss areas you'd like studied for potential future improvements. Williams
Architects/Interiors is pleased to provide this proposal for related Architectural Planning services.
BACKGROUND / PROJECT UNDERSTANDING
The Village has owned and operated the Oak Brook Golf Club since the late 1980's. An addition to
expand the dining area and kitchen was done in early 2000's. Golf memberships and operations are
doing well, however, the clubhouse has the potential to be a more profitable year-round food and
beverage facility. You are currently operating with Village Staff, but are considering engaging an outside
vendor to run food and beverage services. A primary goal will be to capture the 4:00 to 10:00 pm crowd.
Improvements we discussed include upgrades to the kitchen, inclusion of a full service bar, reworking the
interior space organization to consolidate and meet office and storage needs, and a complete "new"
interior look to better draw and keep customers.
Other items discussed include downsizing the pro shop, new locker room finishes, and it would be nice to
visually "open" the dining room to the outside seating area and the course beyond. We also discussed the
potential for expanded outdoor, covered terraces.
SCOPE OF SERVICES
We will meet with you and your key staff to review your needs and previously prepared plans and studies
along with reviewing the above defined issues. We will discuss your ongoing operations to determine how
things are currently working and if other adjustments should be considered within your current spaces.
We will review each of the specific areas of study to ensure we have a thorough understanding of your
goals. As an outcome of these meetings, we will begin development of scope definition diagrams to help
the Village better visualize the options available to you. This will include rendered floor plans and site
plans showing the options. We will communicate with you regularly throughout the planning process to
review progress and gain your input.
We will prepare budgetary cost information to help in the assessment of the various improvements.
We will meet with the staff and Board to review and discuss the pros and cons of each option and select
the preferred solution to proceed with further study.
With staff and Board approval we will begin further development of the preferred concept. This will include
more detailed planning, definition of interior design and exterior massing/elevations.

This will also include a review of the building code and zoning requirements.
As an option we will include engineering consultants to review the current HVAC, electrical and plumbing
systems to assist in defining necessary upgrades in those areas. Additionally, a food service consultant
will be included. We will include their initial visit to the property and assessment as part of the planning
services.
With the engineer's assistance we will prepare an order of magnitude cost estimate for the various
proposed options to assist you in making informed decisions.
We will meet with you throughout the study to review progress and gain your input.
We will make ourselves available to attend a Village Board meeting to present the plans and receive
Board input and approval.
We will include the following deliverables:
1. Scope Definition Documents
a. Narrative of various options
b. Floor and site plan diagrams identifying the various options explored.
c. Initial budgetary cost information
2. Conceptual Design Documents
a. Rendered conceptual floor and site plans
b. List of proposed interior finishes
c. Narrative description of proposed improvements
d. Interior and exterior renderings
e. Order of magnitude cost estimate
3. Engineering Review Services
a. Engineering existing conditions report
b. Engineering narrative for proposed improvements
c. Engineering assistance with cost estimate
PRO -FORMA ANALYSIS
It would be worthwhile for the Village of Oak Brook to engage a hospitality consultant to evaluate and
project the financial outcome of making improvements. They can also advise the Village on operations.
We're acquainted with Creative Hospitality Associates. They worked closely with the Lisle Park District at
the River Bend Golf Course. This service is not included within the below noted fees.
FEES
Following are our proposed fees for the services defined above.
1. Scope Definition Documents -We propose a lump sum fee of $6,000 for these services
2. Conceptual Design Services -We propose an additional lump sum fee of $7,500 for these
services
3. Engineering Services -We propose an additional lump sum fee of $4,000 for these services
Complete Services defined above will total a lump sum fee of Seventeen Thousand Five Hundred
Dollars ($17,500). This fee does not include the pro -forma analysis. If this is something you are
interested in then please let us know and we will assist you in acquiring a proposal.
Hourly Rates
Any Additional Services requested in writing by the Village for work not included, shall be provided on an
hourly basis at the rates listed below. Engineering rates are similar to ours and can be provided upon
request. These rates shall be revised at the beginning of June each year. The following rates shall hold
thru 31 May 2017.

REIMBURSABLE EXPENSES
In addition to our professional services listed above, we shall also invoice the Village for our reimbursable
expenses times a 1.15 multiplier not to exceed $500. Reimbursable expenses include project related
expenses such as vehicle mileage, printing & photocopying, photography, renderings, telephone & fax,
electronic documentation transfer, postage / messenger / FedEx, project related supplies, etc.
INVOICING
We shall invoice on a monthly basis for work performed in the previous month. Payment is due within 30
days of receipt of invoice.
CONCLUSION
If you are in agreement with the terms of this Letter of Agreement, please sign and date below, and return
one copy to our office. It is understood that the general terms of this proposal are as per the AIA
Document B104-2007 and in keeping with the Architect's Standard of Care.
