MINUTES OF THE SEPTEMBER 19, 2019 SPECIAL MEETING OF THE OAK BROOK HOTEL,
CONVENTION AND VISITORS COMMITTEE OF THE VILLAGE OF OAK BROOK APPROVED AS
WRITTEN ON OCTOBER 10, 2019
CALL TO ORDER
The Special Meeting of the Oak Brook Hotel, Convention&Visitors Committee of the Village of Oak
Brook was held at the Hyatt Lodge and called to order by Norm Canfield at 12:12pm.
PRESENT:Norm Canfield, David Carlin, Mort Kouklan, Dick Turner, Suzanne Beres
ABSENT: Dr. Abbasy, Melanie Bradshaw, Kathy Dwyer, Time Geiges, Steve Mansfield,Nicole
Patterson, Bhazik Shah
IN ATTENDENCE: Jason Paprocki, Finance Director, Stephanie Fallara, Point B, Hamish McDonald,
Point B, Tracy Laurent, Hyatt Lodge, Letty Jimenez, Hyatt Lodge, John Baar Trustee
2020 BUDGET DISCUSSION
Budget Projections & Discussion Items
Hamish McDonald distributed the 2019 budget recap and discussed the marketing plan:
• Discussed the current 2019 budget funding delivered solid results from a marketing standpoint.
Point B saw constant interest for hotels throughout the year, rather than occasional spikes
correlating to marketing campaigns.
• Point B is still using the 2018 videos that were developed for commercials.
• Hamish discussed the importance to keep 2020 funding in line with 2019 funding since some of
the 2019 budget was spent on the rebranding sessions rather than media.
• Hamish discussed the strong website activity statistics.
• The 2020 funding would be used to amplify things developed in 2019 as part of the rebranding.
• Jason Paprocki discussed the preliminary 2020 projections and indicated funding would be
available to maintain the current advertising budget for an additional year, but funding for 2021
would likely need to be reduced barring a change in the 1%and 2% split.
2020 Budget Recommendations
• A rebalance lowering leisure stays and more group stays.
• Targeting meeting planners via social media, such as Linkedin
Increasing radio media.
OTHER BUSINESS
Suzanne Beres discussed how the mall markets and reaches visitors. Suzanne also discussed new
stores coming to the mall: Amazon 4-Star, Kidzania, Restoration Hardware.
John Baar discussed the need for support from the Hotel committee to spend the 2%portion on
infrastructure and beautification to enhance the image of Oak Brook.
It was discussed that the minutes for the August 8th meeting would be approved at the next
meeting since there wasn't a quorum.
ADJOURNMENT
Norm Canfield adjourned the meeting at 1:19 pm.
