Minutes - 03/25/2021 - Sports Core Advisory Committee Call to Order The March 25, 2021 Sports Core Advisory Committee meeting called to order by John Anos at 6:00pm PRESENT: In Person - John Anos, Jim DePhillips, Mike Stevens, Melissa Martin; via Zoom – Lara Barber, Frank Scarpiniti, Kathy Miller, Melissa Martin ABSENT: Mike Jerich IN ATTENDANCE: In Person – Village Manager, Rick Ginex, Executive Assistant, Connie Reid, Trustee John Baar, Finance Director Jason Paprocki, Trustee Michael Manzo, Event Coordinator Marianne Long. Via Zoom-Trustee Moin Saiyed, Village President, Gopal Lalmalani, Park District Deputy Director Dave Thommes. Public Comments No public comments Active Business Bath & Tennis Club Membership Update – Dave Thommes Dave begins by saying that the Program Guide will be digital only this year are will be available on April 1st. Anticipating that the clay for the tennis courts will go in mid to late April. The soccer fields are filling up with rentals starting on April 5th. Memberships have already begun. Mr. Thommes goes on the say that they will not be requiring reservations for pool usage. Mike Stevens asks for clarification on the Senior Family membership, Dave responds by saying that on a Senior Family Membership, the grandchildren are included but the children have to pay the guest fee. They touch on the “nanny fee” which is new for this year. Conversation continues with talk of how to pay for memberships to which Dave explains that previous members received a paper membership form in the mail which could be mailed or dropped off but they do prefer that people go to the website and sign up on line. Dialogue continues regarding tennis memberships, having a more visible presence on the internet, marketing with large signs and member events. Melissa Martin asks for direction on how to submit membership forms. Dave Thommes clarifies that memberships can be taken on line, he goes on to explain taking Tennis membership procedures. Conversation shifts to internet search problems for the Bath & Tennis Club and marketing ideas such as special event parties for members. Dave touches on the issues they are having trying to explain the dynamics of the Park District vs. Village. MINUTES OF THE MARCH 25, 2021 MEETING OF THE SPORTS CORE ADVISORY COMMITTEE OF THE VILLAGE OF OAK BROOK HELD VIA ZOOM AND IN PERSON IN THE WEST WING CONFERENCE ROOM, APPROVED AS WRITTEN ON MAY 19, 2021 Approval of Minutes Motion to approve minutes from the January 19, 2021 made by John Anos seconded by Jim DePhillips. Tasty Catering Agreement – Rick Ginex starts by addressing the challenge of trying to devise a way to collect the sales tax on the food and beverage operation. The B&T would have to go into the catering business in order to collect the sales tax. He goes on to say that it isn’t feasible, and would wind up costing the Village money because they would have to hire someone to do the billing, collection, tastings, last minute changes, staffing etc. which would wind up costing more than what would be collected in taxes. Rick goes through three scenarios for a $15,000 food and beverage sale: current arrangement, Oak Brook Reporting Sales with 15% commission and Tasty Reporting Sales with 15% commission. The B&T makes the most money on the third scenario with Tasty reporting the sales and Oak Brook receiving 15% commission. He goes on to explain some of the changes in the Tasty Contract, commission would be raised to 15%, believing that 20% would price the B&T out of the market. The Village would have sole discretion on third party vendors. Other areas where the B&T can raise prices outside of the commission include room rental fees, chair rentals, ceremony fees and cleaning fees. Conversation continues regarding sales tax reporting and what can be taxed and what can’t. And moves on to what needs to be done to make the B&T profitable. Conversation ensues regarding expenses for the B&T and revenue potential. Marianne goes through the dynamics of having Tasty provide services at the B&T as well as some of the other comparable venues in the area and how raising the commission to the B&T would cause the food and beverage prices to go up at the B&T and people would go elsewhere. Frank Scarpiniti again voices his opinion that we are subsidizing each event. Melissa Martin states that on an operating basis the Clubhouse covers their expenses. Ideas go back and forth regarding how to increase the per event revenue and whether that can make it profitable. John Anos asks for a motion to approve raising the commission rate in the Tasty Contract to 15%. Jim DePhillips makes the motion, Frank Scarpiniti seconds.
