R-1994 - 01/25/2022 - PUBLIC WORKS - Resolutions Supporting Documents ITEM 6.C.1 BOARD OF TRUSTEES MEETING vili.ncf of SAMUEL E. DEAN BOARD ROOM OAK B R92. K BUTLER GOVERNMENT CENTER 1200 OAK BROOK ROAD OAK BROOK, ILLINOIS 630-368-5000 AGENDA ITEM Regular Board of Trustees Meeting of January 25, 2022 SUBJECT: Award of Contract—Bulk Deicer Salt FROM: Rick Valent,Director of Public Works BUDGET SOURCE/BUDGET IMPACT: $47,024.00 from account#363-61800. RECOMMENDED MOTION: I move that the Village Board approve Resolution 2022-PW-SALT-PG-1994, and waive further bidding since the State of Illinois has already conducted the bid process, and authorize staff to issue a purchase order to Compass Minerals America, Inc., Overland Park, KS, in the amount of $47,024.00 for 800 tons of deicer salt at$58.78 per ton. Background/History: The Village has purchased bulk deicer salt through the State of Illinois Central Management Services contract for many years. The last few years we split our purchase quantities between the State of Illinois and DuPage County's competitive bidding. This split purchase gave us the opportunity to receive salt from two(2)suppliers. This upcoming season we are requesting 1,550 tons; 750 from DuPage County, which the Board approved April 27,2021, and 800 from the State of Illinois, for which we are now requesting approval. In 2021,many communities had problems receiving salt deliveries in a timely manner. Some deliveries were running more than a month behind schedule and many communities were running low on salt. Fortunately,we did not have this problem because we had started to stockpile salt in the Storage Barn. The Village will continue to split the deicer salt purchase between the State's Central Management Services and DuPage County's competitive bidding process to diversify our risk. Recommendation: Approve Resolution 2022-PW-SALT-PG-1994 authorizing staff to issue a purchase order to Compass Minerals America,Inc., in the amount of$47,024.00 to purchase 800 tons of deicer salt at$58.78 per ton for the 2022-2023 winter season.
