Minutes - 04/25/2024 - Community Engagement Committee Community Engagement Committee Thursday, April 25, 2024 7:00 P.M. CALL TO ORDER The April 25, 2024 meeting of the Community Engagement Committee was called to order in the Upper Level Conference Room of the Butler Government Center at 7:05pm by Chairperson Kaarina Lebrun. Those present go around the table and introduce themselves. ROLL CALL Present: Kaarina Lebrun, Katie Donnelly, Jessica Rezk, and Vince Bufalino Absent: James Hung, Nomana Akhtar, and Gabriela Wood In Attendance: Village Manager Greg Summers, Executive Assistant Connie Reid, Sports Core Director Art Segura, Village President Larry Herman, Trustee Suresh Reddy, Pam Kucel (Oak Brook Club) APPROVAL OF MINUTES A. February 22, 2024 Motion to approve the February 22, 2024, minutes made by Vince Bufalino, seconded by Katie Donnelly, all in favor, no one opposed. Minutes approved. PUBLIC COMMENTS There are no public comments. ACTIVE BUSINESS Events Update • Pancake Breakfast Chairperson Lebrun gave an update on the planning progress of the Pancake Breakfast; Chic Chef will be providing the food, and a deposit has been paid, committee members will purchase drinks from Costco and Gordon Food Service, Chic Chef will bring and set up tables, and chairs. The event will run from 9:30am to 12:30pm, set up will begin at 7:30am. VM Summers gave a marketing update, stating that the flyer will be posted on the website, social media, the weekly Village update, the Village app, and distributed to the HOA presidents. The committee will put it on WhatsApp, Local Oak Brook, and the update for 53 PTO. The conversation shifted to whether they should have sign-up sheets. It was decided not to have anyone sign in, but they would have a sign-up for people interested in volunteering. The Police and Fire will have activities like touch a truck, tours, an appearance by Bandit and a swag table. Conversation ensued regarding logistics, signage, the decision to use Chic Chef, MINUTES OF THE APRIL 25, 2024 MEETING OF THE COMMUNITY ENGAGEMENT COMMITTEE OF THE VILLAGE OF OAK BROOK APPROVED AS WRITTEN OR AMENDED ON MAY 23, 2024 marketing, and other event details. • Movie Nights at OBBT SCD Segura began with a short list of events that are being planned at the B&T pool, including movie nights. He shared that there will be two events per week and that Oak Brook Day at the Pool will be on June 2nd. Conversation shifted to what the CEC’s role will be in in planning and volunteering at the B&T events; it is discussed that the CEC will assist with the movie nights and Oak Brook Day, but not with the member events. The committee spoke about scheduling events at the B&T, the issues that need to be addressed, and how to acquire a popcorn maker. • Taste of Oak Brook CEC will have a presence at the Taste, possibly in the family tent, the committee wanted to know if they would get free parking. • Fall Welcome Event Kaarina spoke about the desire to get more families and children involved, so instead of doing a fall welcome event the committee discussed doing “Play Dates”. They plan to do one before the National Night Out, and, then, possibly rotate among the different subdivisions. The CEC is going to have a presence at NNO, which is being held on National Root Beer Float Day, and the committee may serve floats. Play Dates would be an informal open invitation to all resident families to gather at a set meeting place, and CEC would provide a small giveaway. They decided to advertise these events at the TOB. Conversation shifted to welcome packets and welcome baskets. Giuseppe will be providing a copy of the latest version of the welcome packet to Vince Bufalino. The committee talked about what should be included in a welcome basket, and the logistics of making that come to fruition. It is decided to push the baskets to 2025 and concentrate on packets.
