Minutes - 06/27/2023 - Sports Core Advisory Committee Sports Core Advisory Committee Meeting June 27th, 2023, 6:00pm Call to Order The June 27, 2023 Sports Core Advisory Committee Meeting held in the Upper Level Conference Room of Village Hall, was called to order by John Anos at 6:00pm PRESENT: In Person - John Anos, Jim DePhillips, Christy Dolan, Frank Scarpiniti, Lara Barber, Kathy Miller and Mike Stevens ABSENT: Mike Jerich IN ATTENDANCE: Village Manager, Greg Summers, Executive Assistant, Connie Reid, Trustees Michael Manzo and Melissa Martin, Village President Larry Herman, Director of Public Works Rick Valent, Finance Director Marilyn Fumero, Golf Superintendent Sean Creed Approval of Minutes Motion to approve the January 19, 2023, meeting minutes made by Lara Barber seconded by Frank Scarpiniti. All in favor, no one opposes. Minutes approved. Public Comments Lyn Tietz began by briefly describing her experience playing tennis at the B&T. She makes some suggestions regarding prorated memberships and having a member directory. She would like more leagues, interplay, and tournaments instead of just drills. She stated that Jim is too busy doing maintenance on the courts and doing drills to be able to run leagues and tournaments. Michael Stevens concurred that Jim is spread too thin to be able to run the program and do all the maintenance. The conversation continued regarding ideas to grow the tennis program, then shifted to guest passes and the possibility of using them for both pool and tennis. They touched upon implementing a late summer discounted membership. There is a consensus to offer an August membership for half-off membership prices. They will bring it to the Board on July 11th. Talks commenced regarding marketing and the most efficient types of media. VM Summers shared that Hinsdale Magazine has just begun an Elmhurst Magazine and the Village has an agreement with them for advertising, he continued by saying that the advertising dollars come out of the hotel fund. MINUTES OF THE JUNE 27, 2023 MEETING OF THE SPORTS CORE ADVISORY COMMITTEE OF THE VILLAGE OF OAK BROOK HELD IN THE UPPER LEVEL CONFERENCE ROOM OF VILLAGE HALL APPROVED AS WRITTEN ON OCTOBER 19, 2023 Active Business Soccer Update Dave DiTomasso began his update stating that soccer is doing extremely well. They hosted their opening weekend tryouts and they have eclipsed last year's numbers. They are experiencing growth across the board. They hosted their biggest tournament in Naperville. He furthered that they are hosting a large tournament in October, utilizing Butler’s driving range for additional fields. Dave touched upon the record number of hotel rooms that have been booked at Oak Brook hotels directly due to his soccer tournaments. He ends with a brief summary of the operation as a whole and some needs for further success. Bath & Tennis Club Membership – President Herman distributes a membership report, showing that even though the membership numbers are down the dollar amounts are up. He concurs that marketing is an issue and touches upon the desire to form a marketing sub-committee to assist with that. He reiterates that the Club is viable due to the non-resident members but it is a Village facility maintained for its residents, and whatever is deployed in support of the Club must be first and foremost a benefit to the residents. Committee members speak about the culture at the Club, and the lack of a neighborly atmosphere, the need for events and programming. President Herman stated that there will also be a programming sub-committee and that change doesn’t happen overnight, it will be incremental. Operations – AVM Mitchell passes out a job responsibility matrix. He stressed that the goal is to work as a cohesive team and having each individual entity know their responsibilities is the first step. He continued to go through two IRMA claims and what is expected in the future from IRMA. Programming - Chuck Genoar shared that his programming is off to a slow start, but that is what was expected. They will continue to grow the programming year after year. Conversation ensued regarding growing membership, the lack of patrons in August, events, Elmhurst being a huge part of the membership, the website, and which programs are successful. Leslie Clark interjects that the lifeguard side of things is going well and that most of the beginning season hiccups have been worked out. Lap swim is discussed. Golf Course, Update – Sean Creed shared that golf is doing well. Rounds are consistent with the previous year. He thanked Rick Valent and his crew for all their help with the improvements made to the course. Committee members commented on how great the course looks. Sean then gave an update regarding the golf carts which should have been delivered this year but now delivery has been pushed to April 2024 at which time they will raise the rates. Dialog shifts to the golf surcharge fund and what the money should be spent on, and suggestions are made to update the kitchen. Frank Scarpiniti would like to see the Non-Resident rates raised. Conversation changes to the parking issues and the driving range with the possibility of replacing the grass with artificial mats. Sean continued with an update on the new sand traps and bunkers and the steel edging. Members speak about complaints made regarding the pace of play and the need for ranger guidelines. Food & Beverage - Finance Director Fumero hands out a summary of food and beverage sales. She spoke of her plan to do an inventory and the processes she would like to put in place so that they can track costs and margins. VM Summers shared that Marilyn Fumero and Joe Mitchell have set up a meeting to go to the golf course to do an inventory and to set up the item costs so that they can get the needed margins. Melissa Martin shared that the poolside café is often out of liquor and would like to see a protocol for when this happens. Before the meeting ends President Herman asks about providing an incentive for referring a family who purchases a membership. The committee then talked about scheduling the next committee meeting; there was no decision made. A conversation began regarding the process for appointing a new committee member to replace Melissa Martin. Frank Scarpiniti asks for a list of resident golf members and B&T members so that they can choose someone. Adjournment Motion to adjourn the June 27, 2023 meeting of the Sports Core Advisory Committee made by Christy Dolan and seconded by Lara Barber, all in favor, no one opposed.
