Minutes - 04/30/2024 - Sports Core Advisory Committee Sports Core Advisory Committee Meeting April 30, 2024 6:00pm Call to Order The April 30, 2024 Sports Core Advisory Committee Meeting held in the Upper-Level Conference Room of Village Hall, was called to order by Chairman John Anos at 6:00 pm PRESENT: In Person - John Anos, Jim DePhillips (arrives at 6:22), Christy Dolan, Frank Scarpiniti, and Michael Stevens ABSENT: Mike Jerich, Kathy Miller, and Lara Barber IN ATTENDANCE: Assistant Village Manager, Joe Mitchell; Executive Assistant, Connie Reid; Sports Core Director, Art Segura; Village President Larry Herman; Trustees Mike Manzo and Melissa Martin; Public Works Director Tim O’Malley; Justin from Trackman AVM Mitchell rearranged the meeting to allow for the Trackman representative to do his presentation first. Trackman is golfball tracking technology, that provides feedback via in-bay screens, tablets, or mobile devices. It brings a golf simulator experience outside at the driving range, for teaching or entertainment. The Rep described the features that Trackman offers and how it would benefit OBGC. He then went through the different setups that are offered, using an app on a phone or installed on tablets, getting covered/heated range bays, and whether it is more lucrative to charge by the hour or by the bucket of balls. The committee asked about various scenarios, what would work best for the Club, what is included in their package, and payment options. The committee weighed the pros and cons, the logistics, and the timeline. AVM Mitchell said that the cost for doing the public side only it would be $6,500 per month for 5 years. If the member side is included it would be around $11,000. AVM Mitchell offered to schedule an on-site demonstration for Frank Scarpiniti, John Anos, and Jim DePhillips. AVM Mitchell spoke about the new ball hopper. For $35,000 it will save employees time, be more efficient, and allow customers to purchase driving range balls at the driving range, eliminating the need to return to the pro shop for additional ball tokens. He said that he believes this purchase will bring a noticeable return on investment. Conversation shifted to logistics, ease of use, and what is needed to begin the project. AVM Mitchell provided an update on the B&T roofing issues. He shared a picture of the standing water on the roof and that they are using a pump to remove the water. The committee talked about patching versus full tear-off and replacement. AVM Mitchell said that there are some options that he is not at liberty to talk about right now regarding the roof. SCD Segura shared some membership comparisons and the effects of the changes in the golf membership rules. The reasons for the downturn in Resident Memberships are discussed. SCD Segura speaks about how the weather is making it hard to compare tee times and golf rounds from last year because this April had many rain-out days. He then talked about the lack of parking on the days that the tee sheet is filled. The committee discussed ideas for increasing parking spots. AVM Mitchell told the committee that Golf Café sales year to date are about $10,000, and the weather has affected those revenues also. He then passed out data regarding Chic Chef, that showed the bookings and events. SCD Segura addressed the question of whether GolfNow can do everything that the Golf Club needs it to do. He admitted that the surcharge has remained an issue, but believes that with the correct training, there should be an improvement. For now, there needs to be a journal entry to record some of the surcharges. AVM Mitchell reported that the repairs at the pool are almost completed. The Sundeck nonslip coating on the pool deck is done and he is pleased with the results, the wading pool repairs will be completed shortly. He moved on to talking about the Facility Manager position and stated that one person was hired to fill one of the three open positions and that they will continue to advertise to get the two remaining positions filled. He ran through the activity additions that are going to be available this season; the inflatable obstacle course, cornhole, ping pong table, picnic tables. He gave the details from the B&T parking lot kick-off meeting and confirmed that it will be completed by May 24th. PWD O’Malley gave a summary of what Public Works is working on to get the facility ready. He provided more information regarding the parking lot construction stating that they are waiting on a permit from the Army Corp of Engineers for soil erosion. The excavation has begun. Mike Stevens asks about tennis courts 6 and 7 and whether they will be playable this season. The committee discussed the problems and the options for those courts. AVM Mitchell circled back to the pool and shared that he will be looking into getting a slide and climbing wall for the 2025 season. He confirmed that any new feature would not affect the high- dive board. He talked about options for removing the fenced-in area between the diving well and lap pool. The next project he spoke about was installing a fence near the pond area that would deter non-members from coming around the back to get into the pool. After some discussion, it was decided to fence only the right side, and the gate would be closed during events but open so that kids could fish the rest of the time. The cost for both sides is approximately $11,000. AVM Mitchell asks for a consensus on moving forward with the fence. President Herman gave a polo update, he stated that Jim Drury who has funded polo in the past is no longer doing so, without Mr. Drury’s financing it isn’t feasible for them to host a whole polo season. They plan to do two consecutive weeks and hold them in conjunction with a big event such as a car show. They will probably have to renegotiate the lease contract for next season. Chairman Anos asked if they needed to decide on the ball hopper machine. Logistics are again discussed. There is a consensus to move forward with purchasing the ball machine. Approval of Minutes a. March 20, 2024 Motion to approve the March 20, 2024, meeting minutes made by Mike Stevens, seconded by Frank Scarpiniti. All in favor, no one opposes. Minutes approved. It is decided to have the next meeting on May 21st.
