CALL TO ORDER The September 19, 2024 special meeting of the Community Engagement Committee was called to order in the Upper Level Conference Room of the Butler Government Center at 7:07pm by Chairperson Kaarina Lebrun. ROLL CALL Present: Kaarina Lebrun, Jessica Rezk, and Vince Bufalino, Nomana Akhtar, and Gabriela Wood (via Zoom) Absent: James Hung, and Katie Donnelly In Attendance: Executive Assistant Connie Reid, Management Analyst Giuseppe Scalera, Village Trustee Melissa Martin, Sports Core Director Art Segura, Deputy Police Chief Reid Foltyniewicz, and Village Clerk Netasha Scarpiniti Chair Lebrun welcomed Netasha Scarpiniti and thanked her for all the help in planning various things and for all she has done with the Celebration of International Cultures, she also thanked DC Foltyniewicz for attending. Jessica Rezkjoined the meeting in person and Gabby Wood joined via Zoom. APPROVAL OF MINUTES A. June 13, 2024 Motion to approve the June 13, 2024 minutes made by Vince Bufalino, seconded by Jessica Rezk, all in favor, no one opposed. Minutes approved. PUBLIC COMMENTS There are no public comments ACTIVE BUSINESS B. Adult Social Event at OBGC Kaarina Lebrun shared that the Adult Social Event will be held at the OBGC on October 17 th - from 6:30 to 8:30 pm. They are working on the menu. The budget is discussed with $600 agreed upon for live music and $600 or so for food. There will be a cash bar. There will be room for 70 people seated inside or more if some stand. Conversation shifted to giveaways. Connie Reid explained that she is in the process of ordering insulated Pilsner tumblers with the Village logo that can be for the Event and can be used for other purposes such as welcome baskets. Ideas are discussed for marketing, enticement for registration, sponsorships, and solicitations for raffle prizes. C. Play Date Events at Village Hall Kaarina shared an idea of using the West Wing training/conference room or the Library to hold winter play dates, where they can do indoor crafts, games, or movies. Jessica Rezk circled back to the original idea of having each HOA host an outdoor play date at their park. It is decided that Forest Glen will host the first one, on October 18 th at 4:30. Brook Forest will host an outdoor date in November. Winter indoor activities, Saddle Brook will be done outdoors in the spring and continued rotation is planned. Logistics are discussed. The committee pivots back to the indoor activities. Ideas like gingerbread houses and cookie decorating are discussed and hosting the activities at the B&T or the Golf Course instead of Village Hall is debated. D. Police Family Trivia Kaarina Lebrun conveyed an idea from Trustee Manzo for a trivia or family game night in conjunction with the police department. DC Foltyniewicz agreed that this would be a good collaboration, and he would gladly provide volunteers. Scenarios for a family game night are discussed, including what types of games, where they should be held, what time of year, and what kind of refreshments should be provided. E. Open Forum Vince Bufalino mentions that he has put together a small group that will be going to the new homes in his area to bring new resident packets and would like to give them a small token of some sort from the Village. Different gift ideas are debated and how the committee will be notified of new residents. Netasha Scarpiniti asked all of the committee members if they would put up posters for the Celebration of International Cultures.
