R-1000 - 11/13/2007 - BOARD - ResolutionsRESOLUTION 2007 -BD- AFC -R -1000 A RESOLUTION ESTABLISHING AN AD HOC COMMITTEE FOR THE PURPOSE OF PLANNING AND COORDINATING THE 2008 OAK BROOK AUTUMN FESTIVAL WHEREAS, each year since 1996, the Village Board has established an ad hoc committee of Oak Brook residents and corporate residents ( "Committee ") for the purpose of planning and coordinating the Oak Brook Autumn Festival, and WHEREAS, the most recently formed Committee has recommended that an autumn festival be held in 2008, provided the event is fully funded through sponsorship donations, and WHEREAS, the Village Board has concurred with the Committee's recommendation and has set September 21, 2008 as the target date for the 2008 Oak Brook Autumn Festival, provided the event is fully funded through sponsorship donations, and WHEREAS, the Committee shall submit a comprehensive budget, which shall include information on adequate funding for the event through sponsorship donations, and WHEREAS, the Committee shall submit a program schedule to the Village Board by July 1, 2008, for the Board's approval NOW, THEREFORE, BE IT RESOLVED BY THE PRESIDENT AND BOARD OF TRUSTEES OF THE VILLAGE OF OAK BROOK, DU PAGE AND COOK COUNTIES, ILLINOIS, as follows Section 1. That there is hereby created an Ad Hoc Committee for the purpose of planning and coordinating the 2008 Oak Brook Autumn Festival Said Committee shall be known as the "2008 Autumn Festival Committee" and shall consist of seven (7) Oak Brook residents The seven (7) members shall elect two (2) members to serve as Co- Chairmen Section 2 That the Committee shall have and exercise the following powers and duties (a) To solicit sponsorship donations to fully fund said event, (b) To report regularly to the Village Board on its progress and the status of its fundraising efforts and program schedule of events, (c) To submit a program schedule of events and comprehensive budget for the Autumn Festival to the Village Board prior to July 1, 2008 for the Board's approval, which budget shall be fully comprised of donations provided through sponsorship, (d) To plan, coordinate, publicize, and execute the 2008 Oak Brook Autumn Festival, (e) To encourage the widest possible participation in the Autumn Festival by residents, clubs, organizations, institutions and businesses within the Village, (f) To evaluate the success of the Autumn Festival and to make recommendations concerning future events, and (g) To form such subcommittees of its members as the Committee deems necessary and Resolution 2007 -BD- AFC -R -1000 Establishing Ad Hoc Committee For 2008 Autumn Festival, Page 2 of 2 desirable for the efficient and timely conduct of its business, and to assign to such subcommittees any function or power provided herein Section 3 That the funds that remain from the successful 2007 Autumn Fest event are hereby designated -for the 2008 Autumn Fest event Section 4 That any expenditures of funds in connection with the Autumn Festival shall be subject to the policies and procedures of the Village, in accordance with applicable law APPROVED THIS 13th day of November, PASSED THIS 13th day of November, 2007 Ayes Trustees Carson, Kennedy, Manofsky, Saived, Sanford and Wolin Nays None Absent None .� ,,, .r �� t ..rr•.i5 4 ATTEST i Charlotte K Pruss Village Clerk
