SUBJECT: Award of Contract—West Wing Carpet Removal and Replacement Project

BUDGET SOURCE/BUDGET IMPACT: $100,000 ($50,000 — 2017, $50,000 — 2018) is
budgeted in Municipal Building, Structural Improvements(421-90400)
RECOMMENDED MOTION:
I move that the Village Board awards a contract to the lowest responsive and responsible bidder,
Continental Flooring Company, Scottsdale, Arizona, for the West Wing Carpet Removal and
Replacement Project in the amount of$72,448.00. Additionally, I move that the Village Board
approves Resolution R-1684.
Background/History:
On November 15, 2017, staff posted the West Wing Carpet Removal and Replacement Bid
Package on the Village website and sent to thirteen (13) vendors. Four(4) vendors attended the
pre-bid meeting on November 21, 2017 and four (4) sealed bid were received and opened on
November 29, 2017 (see attached bid tabulation). Pricing was obtained for performing the work
after normal business hours and weekends only (base bid), during normal business hours
(alternate bid#1),and on weekends only(alternate bid 42). Staff recommends accepting alternate
bid #1 in the amount of $72,448 since it is the most cost effective. Staff has received and
reviewed references and is satisfied.
The carpet in the west wing area is the original carpet from the building addition completion of
2001 and is in need of removal and replacement. Throughout the years, carpet repairs have been
made in the offices and general areas. The west wing carpet removal and replacement project is
expected to be completed in the first quarter of 2018.
Recommendation:
That the Village Board award a contract to the lowest responsive and responsible bidder,
Continental Flooring Company, Scottsdale, Arizona, for the West Wing Carpet Removal and
Replacement Project in the amount of$72,448.00,and approve Resolution R-1684.
