RECOMMENDED MOTION: I move that the Village Board waive the formal
bidding process since staff obtained quotes and issue a Purchase Order to TriMark Marlinn,
LLC, Bedford Park, Illinois, in the amount of$30,903.24 for four(4) ice makers and two
(2)refrigerated coolers, and approve Resolution 2020-SC-PG-R-1883.
Background/History:
The Village has been leasing ice makers and refrigerated coolers from Empire Cooler
Service for many years. Last year when staff was researching the upgrades of the
equipment, Empire Cooler Service stated that they cannot replace the machines and that
they would only repair any problems as they arose. Below is the breakdown of the ice
maker and refrigerated cooler model numbers, lease cost, and age:
1. #1300 Ice Maker at the Bath&Tennis Kitchen—$160/month, installed 08/2001
2. #630 Ice Maker at the Pool Side Cafe—$275/month—May-August, installed
05/2001
3. Refrigerated Cooler at the Bath&Tennis West Bar— $85/month, installed
02/2015
4. #500 Ice Maker at the Golf Clubhouse Kitchen—$95/month, installed 08/1999
5. #900 Ice Maker at the Golf Clubhouse Garage— $135/month, installed 06/1999

Refrigeration and water filtration systems have evolved into energy efficient,cost effective
units with better water/ice quality. The existing units do not meet this criteria. Staff also
received quotes from Ice Masters($30,956.94)and Ice Town($36,899.00)for the purchase
of ice makers and refrigerated coolers. TriMark Marlinn will deliver and install two (2)
ice makers and two (2) refrigerated coolers at the Bath& Tennis Clubhouse, and two (2)
ice makers at the Golf Clubhouse(see attached quotes).
Recommendation:
That the Village Board waive the formal bidding process since staff obtained quotes, and
issue a Purchase Order to TriMark Marlinn, LLC, Bedford Park, Illinois, in the amount of
$30,903.24 for four(4)ice makers and two(2)refrigerated coolers,and approve Resolution
2020-SC-PG-R-1883.

located,whether now owned or hereafter acquired,including but not limited to the specific
equipment and goods described in any exhibit to this Credit Application,and all replacement
parts accessories and supplies, Including repossessions and returns,and all books and records
and proceeds from the sale, lease or rented thereof,and all existing or subsequently arising
accounts and accounts receivable and supporting obligation which may from time to time
hereafter come into existence during the term of this security agreement.The undersigned

A RESOLUTION APPROVING THE WAIVER OF FURTHER BIDDING AND
AUTHORIZING THE PURCHASE ICE MAKERS AND REFRIGERATED COOLERS
WHEREAS, the Village leases ice makers and refrigerated coolers since 1999 for
Sports Core Properties; and
WHEREAS, the Village began researching the upgrade of the ice makers and
refrigerated coolers in 2019 and was advised by the vendor that the current leased
equipment can only be serviced, not upgraded; and
WHEREAS, the current ice makers and refrigerated coolers are not energy
efficient or cost effective; and
WHEREAS, the purchase of new ice makers will produce better ice and water
quality; and
WHEREAS, staff obtained quotes from three (3) vendors and TriMark Marlinn,
LLC, submitted the lowest quote for four (4) ice makers and two (2) refrigerated coolers
in the amount of $30,903.24; and
WHEREAS, the Village hereby waives any additional bidding requirements and
wishes to accept TriMark Marlinn's quote, in accordance with this Resolution;
NOW THEREFORE, BE IT RESOLVED BY THE PRESIDENT AND BOARD OF
TRUSTEES OF THE VILLAGE OF OAK BROOK, DU PAGE AND COOK COUNTIES,
ILLINOIS, as follows:
Section 1: The Village Manager is hereby authorized to: a) execute a
purchase order attached hereto as Exhibit A, for the purchase of four (4) ice makers and
two (2) refrigerated coolers for Sports Core Properties; and b) take all steps necessary
to implement the terms of this Resolution.
Section 2: The Village authorizes the adoption of this Resolution and the
execution of the purchase order without the need for further competitive bidding since
Village staff obtained three quotes.
Section 3: This Resolution shall be in full force and effect from and after its
passage and approval by the Village President.
