SUBJECT: Award of Contract- Golf Equipment—Greens Mower, Tee Mowers, Utility
Vehicle

BUDGET SOURCE/BUDGET IMPACT: Program#834 (Budgeted 169,000)
RECOMMENDED MOTION: I move that the Village Board waives further bidding
since Sourcewell has already conducted the bid process and issue a Purchase Order to
Revels Turf&Tractor,LLC Elgin,Illinois, in the amount of$162,946.00,for the purchase
of three 2022 John Deere 2550E Greens/Tee Mowers and a John Deere 2020A Progator
Utility Vehicle. The budgeted amount is 169,000. Additionally, I move that the Village
Board approves Resolution 2022-SC-GOLF-PG-R-1979.
Backeround/Historv:
Pursuant to the provisions of Section 1-7-10 of the Code of Ordinances and Compiled
Statutes,the Village is permitted to join with other governmental units in order to benefit
from cooperative purchasing arrangements.
The green and tee mowers are replacing model years 2007, 2010, 2013, and the Utility
vehicle is replacing a 2004 model year. Typically in the golf maintenance you replace
equipment in or around ten years due to age, hours and lastly technology.
All of the equipment have individual issues that have created down time throughout the
growing season. Hydraulic drive motors, cutting heads, brain boxes, and engine problems
have all contributed to that down time. Refurbish just one machine would be in the
neighborhood of$13,000. Technology is another reason for replacement, just like with
other vehicles this industry is also going "Green". Equipment is moving in the direction of
all electric replacements. This new equipment will have electric reel motors, replacing the
current hydraulic motors, making them somewhat hybrid and substantially quieter.

Lastly the seventeen year old 2004 model progator replacement is simply just worn out and
underpowered compared to the 2022 model, creating daily problems with its usage
Trade in value for all four pieces of equipment is $5330.00.
Recommendation:
That the Village Board waive further bidding since Sourcewell already conducted the bid
process, and issue a Purchase Order to Revels Turf & Tractor, LLC for $162,946.00
(169,000 budgeted)and approve Resolution 2022-SC-GOLF-PG-R-1979.
