SUBJECT: Award of Agreement—2022 Pool Management Services

BUDGET SOURCE/BUDGET IMPACT: $163,807.00 is included in various accounts
in Program 812 (Swim Operations) for Pool Management Services.
RECOMMENDED MOTION: I move that the Village Board approve Resolution
2022-PW-AGB&T/P-R-2002 and award an agreement to the sole proposer,
Chicagoland Pool Management, Inc., Lisle, Illinois, for 2022 Pool Management
Services in the amount of $163,807.00, subject to final Attorney review and
approval.
Background/History:
On November 23, 2021, staff received authorization to solicit proposals for
Pool Management Services for the Oak Brook Bath& Tennis Club. On December 16,
2021, a Request for Proposals was posted on the Village website and sent to eleven(11)
companies.One(1)proposal from Chicagoland Pool Management,Inc.,in the amount of
$163,807.00,was received on January 13, 2022. After reviewing the submitted materials,
meeting with their General Manager and Assistant, and checking references, staff is
satisfied with their proposal and recommends awarding an agreement for the 2022 Pool
Management Services to Chicagoland Pool Management, Inc.
Chicagoland Pool Management, Inc. are an established company with many satisfied
clients in the area with similar operations to the Bath & Tennis Club. They are large
enough to draw staff from other locations to fulfill staffing requirements of the B&T
Club Pool if necessary. In addition,they showed in their proposal and during the meeting
that they have substantial experience and a sustained record of accomplishment of
providing satisfactory

aquatic services to customers with similar needs to those of the Village. Staff believes
Chicagoland Pool Management, Inc. affords the Village with a pool management services
solution with the best opportunity to increase customer satisfaction at the Oak Brook Bath
&Tennis Club while simultaneously reducing operational costs for the Village.
Section F of the agreement, titled "Contract Extension" states that the Village shall have
four options to renew for the 2023, 2024, 2025, and 2026 by delivering written notice to
the Consultant. After the 2022 pool season, staff will evaluate performance and decide
whether to renew with Chicagoland Pool Management, Inc. for 2023 or to conduct a full
RFP process moving forward.
Recommendation
Staff recommend that the Village Board approve Resolution 2022-PW-AG-B&T/P-R-2002
and award an agreement to the sole proposer, Chicagoland Pool Management, Inc.,
Lisle, Illinois, for 2022 Pool Management Services in the amount of$163,807.00, subject
to final Attorney review and approval.
