SUBJECT: Award of Agreement—2022 Taste of Oak Brook Event Management Services `

BUDGET SOURCE/BUDGET IMPACT: $150,000 in included in Open Fields, Independence
Day(816-79400)in the 2022 Budget
RECOMMENDED MOTION: I move that the Village Board award a Professional Service
Agreement to Duff Entertainment, Inc., Naperville, Illinois, in the amount of$17,700.00 for the
Taste of Oak Brook Event Management Services. Additionally, I move that the Village Board
approve Resolution R-2005.
Backmund/Historv:
In January of 2015, the staff conducted a Request for Proposal process for Event Management
services for the Taste of Oak Brook. Ravenswood Event Services was awarded the agreement for
2015 with the provision of one-year renewals through 2019. During those years,Duff Rice, was
the partner at Ravenswood Event Services that managed and ran the Taste of Oak Brook event.
Mr. Rice subsequently started his own company,Duff Entertainment. Based on the long-standing
success of the Taste of Oak Brook and the very competitive fees under the management of Duff
Rice, while a partner at Ravenswood Event Services, staff recommends working with Duff
Entertainment,Inc.for the 2022 Taste of Oak Brook. The Taste of Oak Brook was not held in 2019
due to field issues. In addition, the event was not held in 2020 or 2021 due to COVID-19
constraints.
The agreement for the Taste of Oak Brook Event Management Services consists of Duff
Entertainment, Inc.performing general operations,performing event management services,set up
and tear down labor, vendor restaurant coordination, securing sponsorships, and organizing and
negotiating agreements with sponsors. The Village will pay Duff Entertainment,Inc. $17,700 for
their services, as well as a 20% commission for any new sponsorship donation directly obtained
through Duff Entertainment. In kind donations generated exclusively by Duff Entertainment would
be compensated at a flat rate of$500.No commission will be required for any donation solicited
or obtained by the Village or from prior repeat sponsors.

Recommendation:
I move that the Village Board approve Resolution R-2005, awarding a Professional Service
Agreement to Duff Entertainment, Inc., Naperville, Illinois, in the amount of $17,700.00, plus
sponsorship commissions, for the Taste of Oak Brook Event Management Services. .
